Administrative Assistant to the Director of Technology & Development
Location:
Newark, NJ (Onsite, Full Time) Salary:
$60,000–$90,000
Description We are seeking a driven, organized
Administrative Assistant
to support the Director of Technology & Development. This role is perfect for someone who loves keeping operations running smoothly, communicating with clarity, and taking full ownership of tasks — while also being
passionate about AI tools and emerging technologies
such as
ChatGPT, Gemini, and Claude .
You’ll help organize communications, manage presentations, coordinate events, and support technology initiatives. If you’re proactive, tech-curious, creative, and comfortable working in a fast-paced environment, this role is an excellent fit.
Key Responsibilities AI & Tech-Inspired Support
Use AI tools (ChatGPT, Gemini, Claude, etc.) to help draft communications, summarize information, create documents, or support project workflows
Stay curious and updated on AI developments to support the Director’s initiatives
Executive & Administrative Support
Manage and prioritize the Director’s email inbox with strong follow-through
Maintain calendars, schedule meetings, and coordinate internal and external appointments
Own tasks and assignments fully — ensuring accurate, timely completion
Prepare documents, reports, and polished PowerPoint presentations
Event & Meeting Coordination
Plan internal events, team meetings, and presentations
Handle logistics: scheduling, communication, materials, and follow-up
Support smooth execution of tech-related sessions or demos
Internal Communications & Liaison Work
Serve as a point of contact between the Director and departments, staff, and external partners
Draft internal messages, updates, or reports when needed
Maintain organized documentation, files, and project records General Administrative Tasks
File management, data entry, task tracking, and office support
Ensure information is packaged clearly and professionally for leadership
Qualifications Experience
Previous administrative or coordination experience preferred
No development or coding experience required — but tech comfort is important
Skills
Strong organizational and multitasking skills
Excellent communication (written + verbal)
Proficiency in Microsoft Office (Word, Excel, PowerPoint)
Comfortable learning and using new AI tools and productivity apps
Attributes
Passionate interest in AI, automation, and modern productivity tools
