$170,872 – $196,393 – $232,252 (Minimum – Midpoint – Maximum)
Reporting to the VP Ambulatory Operations, the Director of Ambulatory Operations will be responsible for implementing and running clinical operations for the Baystate Regional Cancer Program for all sites to support the service lines ensuring high quality, standardized and seamless care delivery.
The Director will have a close dyad working relationship with Service Line Chair(s)/Chief(s). This position requires strong leadership and management skills specifically focused on clinical and administrative operations that optimize workflow, access to care, non-provider performance across the ambulatory enterprise.
Responsibilities Staff Development:
Ensures a collaborative environment and programming to support professional and leadership development, staff engagement, and a resilient team culture
Staff Recruitment, Retention, and Compensation:
Working with VP Ambulatory Ops, HR, Talent Acquisition and Compensation, evaluates and ensures staffing is consistent with contemporary benchmarks relative to both compensation and productivity
Ensures staff are performing their duties relative to their job expectations and working at the top of their licenses; ensures consistent standards for work executed across all sites of care
Oversees clinical and administrative staff, including hiring, onboarding, scheduling, training, and performance evaluations for all non-provider staff
Fosters leadership and development and ensures appropriate training and succession planning
Strategic Planning & Site Implementation:
Working with the appropriate BMP Clinician Leader and BMP Program Director, oversees all operational aspects of implementing a new service or site of service outside of provider staffing
Accountable to ensure day-to-day operations are conducted in full alignment with the approved strategic plan to ensure efficient and cost-effective contribution at every stage of the healthcare delivery process
Fiscal Accountability:
Working with medical leaders, BMP directors and VP ambulatory ops, creates and manages operational budgets that support strategic plan and program growth of BMP practices
Oversees management of the budget for delegated sites of care and understands how operational processes support value-based performance
In collaboration with the BMP leadership team, ensures day-to-day operations in the practices are managed to achieve the approved budget and, when necessary, develops and implements plans to address variances to achieve budgeted performance
Collaborates with the clinical leaders, finance, and BMP directors during budget planning to ensure comprehensive accounting of projected volume, revenue, capital and expenses associated with efficient operations
Quality, Safety & Value:
In partnership with BMP Directors, ensures clinical and operational workflows & processes at site(s) support high quality, safe, effective, efficient, and patient-centered care, and population health/risk contract initiatives
With BMP Directors, oversees quality improvement initiatives, and monitors compliance with healthcare regulations and clinical program accreditation
Patient Experience:
Accountable for promoting tactics and strategies to enhance patient satisfaction and engagement, address patient feedback, and improve the overall patient experience
Regulatory Compliance:
Accountable for ensuring ambulatory sites have systems in place to meet regulatory and accreditation requirements e.g., TJC, DPH, Magnet; ensures ambulatory policies are consistent with these standards and practices are adherent to these standards
Performance Metrics:
Participates in the development and ongoing management of performance metrics to optimize operational site performance utilizing data to drive improvements and accountability
Access to Care:
Working with BMP Directors, Contact Center, Capacity Management, and other relevant departments ensures operational workflows and processes support efficient, equitable, timely access to care
Responsible for accurate template building and schedule optimization of provider appointments
Ensures appropriate support staff and workflows are in place to optimize access and throughput
Collaboration and Communication:
Accountable for facilitating effective communication among physicians, staff, and administrative leaders across BH, and fostering interdisciplinary collaboration
Works closely with other departments, such as hospital and BMP operations, administration, HR, recruitment, and finance, to align goals and improve overall operations of BH
Qualifications
Bachelor’s Degree Required, Masters strongly preferred
A minimum of seven (7) years of leadership experience in a related field in a complex healthcare organization with demonstrated skill in strategic planning, organizational leadership, financial management including revenue cycle, operational change, project management, and practice management is required
Demonstrated experience with information management systems, clinical and business process redesign and use of information technology required; Lean (QI) experience a plus
Strong record of building leadership capability and aligning people strategies with operational, financial, and cultural goals
Scope & Locations
Oversight for 8 direct reports, 6 Managers with a total of 175 FTEs
D'Amour Cancer Center and Annex, Radiation Therapy & Diagnostics, Baystate Franklin Oncology, Breast Program, Clinical Research, Business Operations
Education
Bachelors Degree (Required)
Baystate Regional Cancer Program Provides integrated cancer care for adult and pediatric patients. The care team includes physicians and clinical staff, cancer survivors, community cancer support activists, administrators, and community members, who put their hearts and souls into designing and delivering the optimal patient experience.
