Position Summary

The Accounting Specialist will support the financial operations of a logistics and 3PL-focused organization. This role is responsible for processing accounting transactions related to warehousing, transportation, brokerage services, purchase orders (POs), and bills of lading (BOLs). The ideal candidate has hands-on experience in logistics accounting and proficiency in QuickBooks, along with strong attention to detail and the ability to work in a fast-paced environment.


Key Responsibilities

Accounts Receivable & Billing

  • Generate and process customer invoices for transportation, brokerage, and 3PL services.
  • Review Bills of Lading (BOLs), delivery receipts, and shipping documentation for accuracy before billing.
  • Monitor outstanding receivables and assist with collections follow-up.
  • Reconcile customer accounts and resolve billing discrepancies.

Accounts Payable

  • Process vendor invoices for transportation carriers, warehouse services, and suppliers.
  • Match purchase orders (POs), packing slips, and invoices to ensure accuracy.
  • Prepare weekly AP payment runs and maintain vendor records.

General Accounting & Reporting

  • Maintain accurate financial transactions in QuickBooks (or company ERP).
  • Assist with month-end closing procedures, including journal entries and account reconciliations.
  • Track costs related to warehousing, freight, labor, and brokerage fees.
  • Support management with financial reporting and operational cost analysis.

Operational & Logistics Support

  • Communicate with warehouse staff, carriers, brokers, and customers to verify charges and resolve discrepancies.
  • Maintain organized records of shipments, BOLs, POs, and freight documentation.
  • Assist in updating rate sheets, mileage logs, and cost matrices.
  • Support audits and compliance requirements within logistics workflows.


Qualifications

Required:

  • 2+ years of accounting experience, preferably in logistics, transportation, or 3PL.
  • Strong proficiency with QuickBooks (invoicing, AP, AR, reconciliations).
  • Knowledge of BOLs, POs, freight billing, warehousing charges, and brokerage documentation.
  • Solid understanding of GAAP basics.
  • Intermediate Excel skills (VLOOKUP, basic formulas, filtering, etc.).
  • Strong organizational and time-management skills.

Preferred:

  • Experience with TMS or WMS systems.
  • Knowledge of dispatching, carrier settlements, or freight brokerage workflows.
  • Associate’s or bachelor’s degree in Accounting, Finance, or Business.
