Job Summary The Program Support Assistant provides administrative support to a designated division within a federal agency and works in close partnership with both federal and contract personnel to support operational needs across the division.

Position Duties

Provide general administrative and operational support across the designated division.

Provide direct administrative support, including the coordination and scheduling of meetings and preparation of meeting agendas, minutes, presentations, and related materials.

Document and track leadership requests, routing inquiries as appropriate.

Manage and update data on grants, deadlines, and reports.

Draft correspondence and maintain updates to process documents, including Standard Operating Procedures.

Maintain team document repositories, ensuring consistent standards of document organization, versioning, and collection across the team.

Assist with organization of division files and documents within designated platforms such as SharePoint.

Support grant application management and portfolio oversight.

Complete additional duties as assigned.

Qualifications

Bachelor’s degree in a related discipline and at least two years of prior administrative or operational support experience.

Experience coordinating meetings and preparing related materials.

Excellent organization skills and strong attention to detail.

Strong written and verbal communication skills.

Ability to track deliverables, prioritize tasks, and manage competing deadlines.

Experience drafting and maintaining process documents.

Expertise in MS Office suite, including Outlook, Word, Excel, and PowerPoint.

Grant management experience, or experience supporting grant application management and similar portfolios.

Experience working with immigrants, refugees, and underserved populations is preferred.

Additional Requirements

Public Trust: MBI (T2) required (or ability to obtain one).

Clearance level: None currently required.

US Citizenship: Not required.

Job Family: SCA.

This role and associated duties will be performed on site at a government facility located in Washington, DC.

Compensation The likely hourly rate for this position is between $29.75 and $40.25. This is not, however, a guarantee of compensation or salary. Salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.

Schedule Scheduled weekly hours: 40.

Travel Less than 10%.

Telecommuting Options Onsite.

Work Location USA DC Washington.
