Position Summary The Assistant Property Manager will perform vital functions in the day-to-day operations of the client site and support the Property Manager in the administration and overall management of the property. The role supports the owner’s goals with established policies and procedures, assumes full responsibilities in the Property Manager’s absence, and makes operational and supervisory decisions as necessary.
Essential Functions
Input and manage accounts payable and accounts receivable data; generate financial reports requested by the Property Manager.
Research, clarify, and correct member account disputes; ensure rent and other charges are formally communicated to the Property Manager.
Assistance with preparing thirty-day notices, obtaining third‑party financial assistance from agencies, and referring to legal counsel for commencement of legal action; maintain maintenance and legal fees posted to tenant accounts.
Prepare security deposit interest, balance due, and utility allowance tenant notices; assist with rent increase processes.
Conduct annual subsidy program certifications, including annual, interim, initial, termination, and move‑in certifications of all tenants; verify income, assets, and expenses through third‑party vendors; input data into YARDI; generate and submit certified Right Source approvals; maintain monthly EIV binders and reports.
Participate in the preparation of management/operation reviews and regulatory audits (SPECTRUM, DHCD, City of Boston, RBC Audits, REAC); review and correct errors and obtain outstanding Section 8 payments; investigate member fraud allegations.
Assume responsibilities of property maintenance: supervise administrative and maintenance functions; coordinate with the Maintenance Department for move‑ins, move‑outs, and unit turnover repairs; generate occupancy/vacancy reports; follow up on outstanding work orders.
Assist with annual unit inspections: prepare CMCI Annual Apartment Inspection Forms; create and input CMCI repairs in YARDI to generate work orders; manage lease violations related to housekeeping, unauthorized guest, and pets; generate tenant referrals for the Resident Service Coordinator; perform unit inspections when required.
Maintain tenant relations: communicate with tenant concerns; provide maintenance repair and pest control updates; schedule and coordinate pest extermination appointments and send extermination notices to tenants.
Utilize computer software platforms (Microsoft Office, Adobe Acrobat, YARDI, RightSource, Rent Café, and other programs specified by Cruz Companies) to maintain organized tenant files and move‑in files; perform other administrative tasks to ensure smooth day‑to‑day management operations.
Collaborate with the Property Manager to submit certifications, balance due, security deposit, and utility allowance notices; prepare unit inspections, memos, tenant correspondence, lease violations, and legal documents.
Attend weekly staff meetings, trainings, and company meetings as required; update the Property Manager on significant operational problems and deviations from established policies.
Execute any additional responsibilities necessary to support smooth day‑to‑day operations, as directed by the Property Manager.
Qualifications
High School Diploma or GED; a bachelor’s degree preferred.
Minimum of 3 years’ experience as an Assistant Property Manager in a multifamily affordable housing management company.
Minimum of 2 years’ experience using YARDI, RightSource, Rent Café, or similar property management software applications.
Minimum of 3 years’ experience with computer systems, Microsoft Suite, Outlook, and related programs.
Valid driver’s license and operatable vehicle.
Strong attention to detail, organizational, verbal, and written communication skills.
Ability to multi‑task and work under fast‑paced environments; follow directions and multi‑task under stress.
Willingness and ability to work overtime as requested by the Property Manager.
Preferred: bachelor’s degree, housing‑related certifications (COS, BOS, T.C.S., HUD Section 8 Property Management, HOME Rental Assistance Program, LIHTC Program, Tenant‑Based Voucher Program, DMH Program), bilingual fluency in English and Spanish.
