$53,764.00 /yr – $85,138.00 /yr (base salary; actual pay will be based on experience and qualifications). Responsibilities
Participate in on‑the‑job training; understand forms, approvals, and application processes. Assist in the preparation of office and program responses to high‑priority requests for information and records in an accurate and timely manner. Plan and coordinate a variety of special projects and assignments. Provide administrative support to office managers and program managers, including receipt and response to correspondence, maintenance of applications and timelines, and management of office supplies. Keep records, make timely notifications, manage office materials supply, and maintain timelines and schedules. Create and maintain a training database reflecting all trainings taken in the unit and remind employees of necessary renewals. Collect vehicle logs monthly, create travel expense reports on behalf of employees, and submit purchase requests as necessary, tracking orders and coordinating with Office of Administration and Finance. Carry out onboarding and offboarding duties for OCT employees and assist OT leadership with continuity of operations planning and internal controls. Assist the Office of Emergency Management during activations, maintain the security clearance program, and complete other duties as assigned. Qualifications
Minimum qualifications for Administrative Specialist 1 level are required (four to six years of budget, human resources, and business services experience; associate, bachelor’s, master’s, or doctorate may substitute for experience). Administrative Specialist Trainee 1 (SG‑14): four years of experience performing or overseeing budget, human resources, and business services activities. Administrative Specialist Trainee 2 (SG‑16): five years of experience performing or overseeing budget, human resources, and business services activities. Administrative Specialist 1 SG‑18: six years of experience performing or overseeing budget, human resources, and business services activities. To be considered through NY HELPS, candidates must meet the open‑competitive minimum qualifications and may be appointed for the appropriate level based on experience and education.
