Our non-profit client is seeking a Payroll Specialist to join the Finance team.
This role is responsible for ensuring the accurate and timely processing of payroll for all employees in compliance with federal, state, and local regulations.
The Payroll Specialist maintains payroll records, prepares reconciliations and reports, resolves discrepancies, and provides responsive support to employees and management.
This position collaborates closely with HR and Finance and also provides support to Accounts Payable through data entry and record keeping.
Duties & Responsibilities
Coordinate bi-weekly payroll processing through a third-party payroll system.
Maintain accurate and up-to-date employee payroll records.
Manage payroll system setup and maintenance, including withholdings, time policies, and accruals.
Resolve payroll exceptions related to timecards and ensure hours reconcile to payroll registers.
Record payroll-related journal entries for month-end and year-end close.
Prepare reconciliations for benefits, garnishments, and other payroll-related liabilities.
Respond to payroll and attendance inquiries from employees, management, and external agencies.
Assist with Accounts Payable data entry and recordkeeping.
Partner with third-party payroll providers to verify accuracy of employee and employer tax calculations.
Maintain and update payroll policies and procedures.
Stay current on payroll regulations, system updates, and required trainings.
Provide cross-coverage for other accounting functions as needed.
Perform additional duties as assigned.
Maintain regular and reliable onsite attendance.
Requirements
Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
Minimum 2 years of experience in payroll, accounting, finance, or a related role.
Experience with payroll systems such as ADP, Paychex, Paycor, or similar platforms.
Strong mathematical, written, and verbal communication skills.
Proficiency with Microsoft Word and Excel.
Knowledge of wage garnishments, benefit deductions, and overtime calculations.
Understanding of payroll laws and regulations, including FLSA and tax withholding requirements.
Payroll certification such as FPC or CPP is a plus, but not required.
