Primary Purpose Of The Organizational Unit: The University of North Carolina at Greensboro Facilities Operations has the responsibility of providing a wide range of services to all administrative departments, student programs and all academic schools and departments. Services include all aspects of corrective and preventive maintenance, operations, grounds maintenance, housekeeping, utility infrastructure maintenance and operations, business operations, safety, regulatory compliance, project management and renovations.

Position Summary In general, the Planner/Scheduler is responsible for overseeing and enhancing the University’s preventive maintenance program. This position performs administrative and technical work in planning, coordinating and scheduling maintenance activities across campus facilities and operations. The position is specifically responsible for creating the look‑ahead schedule for the trades/crews assigned.

The Planner/Scheduler for the Mechanical (HVAC), Electrical, Plumbing and Steam trades for all of the UNCG campus has technical competence in one or more of the MEP trades to plan work for these trades and strong knowledge of how utility systems are interconnected and what is required to safely work on them without unintended consequences.

Work includes collaborating with trade shops, troubleshooting maintenance issues, conducting inspections to ensure compliance with safety, regulatory and operational standards. The role requires a strong emphasis on preventive and predictive maintenance planning, efficient resource utilization and adherence to industry best practices.

Handles project management for small projects that are under $100,000 and that are not under the oversight of the State Construction Office.

Depending on the work environment, the Planner/Scheduler may also lead or support programs related to sustainable energy practices, asbestos abatement, environmental compliance, refrigerant management and other key initiatives that align with UNCG’s mission and operational goals. Additional duties as assigned.

Key Responsibilities & Work Breakdown

40% – Preventive & Corrective Maintenance Planning – responsible for developing, scheduling and monitoring preventive and corrective maintenance activities to ensure reliability and efficiency across all facilities.

25% – Work Coordination & Scheduling – oversees the day‑to‑day scheduling and coordination of maintenance work across campus facilities.

15% – Compliance, Safety & Regulatory Support – ensures that all planned and scheduled work complies with applicable codes, standards, and safety requirements.

10% – Program Development & Continuous Improvement – leads initiatives to improve the effectiveness and efficiency of maintenance programs and processes.

5% – MRO Stores & Parts Support – supports maintenance operations by assisting with MRO parts management and definitions.

5% – Stakeholder Communication & Reporting – provides clear communication, reporting and consultation with University stakeholders.

Minimum Qualifications

Additional Required Certifications, Licensures, And Certificates Valid Driver’s License required.

Key Responsibilities – Detailed Tasks Preventive & Corrective Maintenance Planning

Responsible for developing, scheduling and monitoring preventive and corrective maintenance activities to ensure reliability and efficiency across all facilities.

Responsible for MEP trades which require complex and technical experience and knowledge.

Serve as a technical expert to support the trades in their work and development on campus‑wide utility systems.

Develops and maintains preventive maintenance (PM) programs for campus systems, equipment and utilities.

Uses CMMS to schedule work orders, track completion and report compliance.

Creates PM schedules and coordinates with trade shops and supervisors to minimize downtime and disruptions.

Monitors program effectiveness and recommends improvements to enhance reliability.

Creates new and reviews existing PM plans to incorporate lessons learned from equipment failure and to optimize the PM program.

Work Coordination & Scheduling

Oversees the day‑to‑day scheduling and coordination of maintenance work across campus facilities.

Responsible for giving direction to trades and other planner schedulers regarding implementing best practices for complex projects.

Reviews work orders for scope, priority, and resource requirements.

Creates weekly and monthly schedules balancing preventive, corrective and project work.

Aligns staffing, tools and materials to meet schedule commitments.

Communicates schedules to supervisors, shop leads and contractors, ensuring clear expectations.

Compliance, Safety & Regulatory Support

Ensures that all planned and scheduled work complies with applicable codes, standards and safety requirements.

Ability to independently conduct complex inspections for compliance with contract agreements, standards/codes and specifications.

Conducts inspections and audits of scheduled work to ensure adherence to safety and regulatory standards.

Where deficiencies are identified, creates Corrective Work Orders to cure all deficiencies.

Maintains documentation for compliance with OSHA, EPA and campus safety requirements and stays current on federal, state and UNC‑G regulations.

Supports specialized programs such as refrigerant management, asbestos abatement and environmental compliance.

Provides reports to leadership and regulatory bodies as required.

Program Development & Continuous Improvement

Leads initiatives to improve the effectiveness and efficiency of maintenance programs and processes.

Analyzes maintenance data to identify trends, recurring issues and opportunities for improvement.

Recommends updates to preventive maintenance tasks, schedules and frequencies.

Participates in campus initiatives related to energy efficiency, sustainability and reliability.

MRO Stores & Parts Support

Supports maintenance operations by assisting with MRO parts management and definitions.

Defines MRO stores parts needed for maintenance including setting up parts in TMA, identifying min/max order quantity, reorder quantity and minimum order amount; catalogs and standardizes parts for maintenance activities.

Ensures parts availability aligns with scheduled work to minimize downtime.

Provides feedback to optimize inventory levels, vendor relationships and storeroom practices.

Acts as a liaison between the maintenance department and MRO stores to ensure resource needs are met.

Stakeholder Communication & Reporting

Provides clear communication, reporting and consultation with University stakeholders.

Prepares reports, dashboards and presentations summarizing maintenance performance and compliance.

Communicates schedules and program updates with administrators, supervisors and front‑line staff.

Represents Facilities Operations in planning meetings, advisory committees and cross‑departmental initiatives.
