Primary Purpose of the Organizational Unit

The University of North Carolina at Greensboro Facilities Operations has the responsibility of providing a wide range of services to all administrative departments, student programs, and all academic schools and departments. Services include all aspects of corrective and preventive maintenance, operations, grounds maintenance, housekeeping, utility infrastructure maintenance and operations, business operations, safety, regulatory compliance, project management, and renovations. These duties are conducted for a campus consisting of over 100 buildings totaling 6 million gross square feet on over 275 acres.

Position Summary

In general, the Planner/Scheduler is responsible for overseeing and enhancing the University’s preventive maintenance program. This position performs administrative and technical work in planning, coordinating, and scheduling maintenance activities across campus facilities and operations. They are specifically responsible for creating the look ahead schedule for the trades/crews they are assigned.

The Planner/Scheduler for the Mechanical (HVAC), Electrical, Plumbing and Steam trades for all of the UNCG campus. These trades have responsibility for utility systems that affect larger portions of the entire campus. Because of this, these positions must have technical competence in one or more of the MEP trades to be able to adequately plan the work for these trades. In addition, they must have strong knowledge of how utility systems are interconnected, and what is required to safely work on them without having unintended consequences.

Work includes collaborating with trade shops, troubleshooting maintenance issues, and conducting inspections to ensure compliance with safety, regulatory, and operational standards. This role requires a strong emphasis on preventive and predictive maintenance planning, efficient resource utilization, and adherence to industry best practices.

Handles project management for small projects that are under $100,000 and that are not under the oversight of the State Construction Office.

Depending on the work environment, the Planner/Scheduler may also lead, or support programs related to sustainable energy practices, asbestos abatement, environmental compliance, refrigerant management, and other key initiatives that align with UNCG’s mission and operational goals. Additional duties as assigned.

40% – Preventive & Corrective Maintenance Planning – Responsible for developing, scheduling, and monitoring preventive and corrective maintenance activities to ensure reliability and efficiency across all facilities.

25% – Work Coordination & Scheduling – Oversees the day-to-day scheduling and coordination of maintenance work across campus facilities.

15% – Compliance, Safety & Regulatory Support – Ensures that all planned and scheduled work complies with applicable codes, standards, and safety requirements.

10% – Program Development & Continuous Improvement – Leads initiatives to improve the effectiveness and efficiency of maintenance programs and processes.

5% – MRO Stores & Parts Support – Supports maintenance operations by assisting with MRO (Maintenance, Repair, and Operations) parts management and definitions.

5% – Stakeholder Communication & Reporting – Provides clear communication, reporting, and consultation with University stakeholders.

This position is mandatory as defined in the Adverse Weather and Emergency Event Policy.

ASSOCIATE’S DEGREE IN THE ASSIGNED DISCIPLINE; OR EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE. SOME POSITIONS MAY REQUIRE CERTIFICATION. ALL DEGREES MUST BE RECEIVED FROM APPROPRIATELY ACCREDITED INSTITUTIONS.

Essential Tasks

Responsible for developing, scheduling, and monitoring preventive and corrective maintenance activities to ensure reliability and efficiency across all facilities.

Responsible for MEP trades which require complex and technical experience and knowledge.

Serves as a technical expert to support the trades in their work and development on campus wide utility systems.

Develops and maintains preventive maintenance (PM) programs for campus systems, equipment, and utilities.

Uses CMMS (Computerized Maintenance Management System) to schedule work orders, track completion, and report compliance.

Aligns staffing, tools, and materials to meet schedule commitments.

Ensures that all planned and scheduled work complies with applicable codes, standards, and safety requirements.

Ability to independently conduct complex inspections for compliance with contract agreements, standards/codes and specifications.

Conducts inspections and audits of scheduled work to ensure adherence to safety and regulatory standards. Regularly schedules audits to ensure compliance to scope and requirements of the completed work. Where deficiencies are identified through audits, creates Corrective Work Orders to cure all deficiencies.

Maintains documentation for compliance with OSHA, EPA, and campus safety requirements. To fulfill this role, must stay current on Federal, State and UNC-G regulations pertaining to the trades and crews the position does planning for.
