Proposal Specialist

Sweetwater, FL | Hybrid | Travel: ~10% Salary:
$65,000 – $80,000
What This Job Is About We’ve partnered with a company in the life sciences/medical logistics space. Their clients regularly ask for information about how their services work or request proposals to decide whether to partner with them. In this role, you will collect information, organize it, and send accurate answers back to clients on time. You’ll work with different teams to gather details and make sure everything the company sends looks professional, complete, and aligned with what the client needs.
What You’ll Do Help with Client Questions (RFIs) and Proposals (RFPs)
Collect requested information from clients.
Assist in building proposals.
Ensure answers match the company’s capabilities.
Prepare Documents for Audits & Reviews
Gather paperwork needed for client audits or checks.
Verify accuracy, organization, and readiness.
Work With Different Departments
Collaborate with Sales, Operations, IT, Legal, Quality, etc.
Obtain correct info and compile it clearly.
Track All Requests and Deadlines
Maintain a record of client requests and due dates.
Coordinate with teams to prevent missed deadlines.
Track submissions and generate simple performance reports.
Keep a Document Library Updated
Maintain a folder of frequently used proposal information.
Update regularly to speed future responses.
What They Want From You
Bachelor’s degree (Business, Life Sciences, Marketing, Logistics, etc.).
3+ years working with proposals, RFIs/RFPs, or client questionnaires.
Strong writing and communication skills.
Highly organized with strong deadline management.
Ability to work with multiple teams simultaneously.
Experience in life sciences or logistics is a plus.
Proficiency with Microsoft Office (Excel, PowerPoint, Word).
English; Spanish preferred.
Problem‑solving, adaptability, and customer focus.
