Administrative Tech III – Grand Junction
Join CDOT as an Administrative Technician in Grand Junction to support the operation of public transportation facilities and services. This role focuses on providing administrative and technical support by implementing professional standards in communication, answering inquiries, processing invoices and reports, and maintaining effective systems.
Responsibilities
Provide technical and operational support to the Maintenance Superintendent, Deputy Maintenance Superintendents, Technician V, LTC OPS Is, TM IIIs and maintenance employees.
Maintain good public relations with governmental agencies and the public.
Communicate emergency situations immediately via digital/telephone or highway band radio as needed.
Schedule and track employee DOT Physicals and Pulmonary Function Testing, ensuring timely renewals.
Assist in preparing meeting rooms for audio and visual capabilities.
Process business card orders, update equipment lists, phone lists and Colorado State Patrol information, log tailgate talks, and process copier and cell phone bills.
Review timesheets for area personnel and answer questions about proper coding.
Train new employees on documenting time worked in the SAP time sheet.
Track and provide guidance for FMLA.
Represent the department and supervisors in person, by telephone, email, and other correspondence; independently reply to inquiries regarding maintenance operations, policies, procedures, or citizen concerns.
Establish and maintain effective working relationships with all levels of personnel and external agencies.
Manage paper and digital files for the Superintendent and deputies.
Respond to employee inquiries about CDOT policies, purchasing rules, and personnel regulations; research and explain procedures related to payroll, benefits, and insurance.
Perform other duties as assigned.
Work Environment
Typical schedule: 8:00 am – 5:00 pm, Monday‑Friday; flexible for work/life balance.
Occasional overnight travel 1‑3 times yearly throughout Colorado.
Required to operate CDOT vehicles and travel during work hours as needed.
Minimum Qualifications
Three years of experience applying rules and procedures for data entry and quality assurance, preparing reports, reviewing financial documents, and advanced proficiency in computer software (MS Access, Excel, SAP).
Or a combination of related education and experience achieving the same level of proficiency.
Must pass a pre‑employment screening (social security, criminal records, driving records).
Valid driver’s license required for positions that require vehicle operation.
Preferred Qualifications
Demonstrated success performing duties listed above.
Years of state service related to the role.
Ability to work under tight deadlines and adapt to changing assignments.
Strong initiative, problem‑solving, and relationship‑building skills.
Excellent time, project, analytical, and communication skills.
Fluency in Microsoft Office, SAP, and ability to learn new software quickly.
