Office Services Administrator – Onsite role
Schedule: M-F 8:30AM-5PM

Summary Of Key Responsibilities
Handle sending, receiving, and distribution of mail, courier packages, and deliveries
Office Space & Equipment Maintenance
Coordinate maintenance and repairs for office equipment
Ensure security protocols are followed
Maintain a clean, organized, and safe office environment
Order and replenish supplies for workstations, breakrooms and conference rooms
Manage office supply inventory and maintain office roster
Liaise with property management and janitorial vendors for housekeeping and repairs
Escort vendors and guests during office visits
Process invoices for approval and resolve discrepancies with vendors
Submit vendor setup and maintenance requests
Update monthly accrual logs for financial reporting
Office Security
Front office management
Track and manage office keys and badges; implement consistent security processes
Assist with execution of office safety exercises and protocol
Administrative & Event Support
Assist with event planning, including ordering supplies, arranging meals, and coordinating travel and accommodations
Participate in ad-hoc HR and administrative projects as needed
Qualifications & Skills
Bachelor’s degree is preferred
Minimum 2 years of experience in an office environment (mailroom, shipping/receiving, or facilities experience preferred)
Ability to lift 25–50 lbs regularly and perform physical tasks (walking, bending, kneeling)
Strong organizational and planning skills with attention to detail
Professional communication skills (verbal, written, and interpersonal)
Proficiency in Microsoft Office Suite and general tech‑savviness
Ability to work occasional extended hours for special projects
