Primary Purpose of the Organizational Unit

The University of North Carolina at Greensboro Facilities Operations provides a wide range of services, including maintenance, operations, safety, regulatory compliance, and project management for a campus of over 100 buildings.

Position Summary

The Planner/Scheduler oversees and enhances the University’s preventive maintenance program, performing administrative and technical work in planning, coordinating, and scheduling maintenance activities across campus facilities. Responsibilities include creating look‑ahead schedules for the Mechanical (HVAC), Electrical, Plumbing, and Steam trades and ensuring safety and regulatory compliance.

Key responsibilities include:

40% – Preventive & Corrective Maintenance Planning

25% – Work Coordination & Scheduling

15% – Compliance, Safety & Regulatory Support

10% – Program Development & Continuous Improvement

5% – MRO Stores & Parts Support

5% – Stakeholder Communication & Reporting

Handles project management for small projects under $100,000 that are not under the oversight of the State Construction Office.

May also lead or support programs related to sustainable energy practices, asbestos abatement, environmental compliance, refrigerant management, and other key initiatives.

Minimum Qualifications

Associate’s degree in the assigned discipline or equivalent combination of training and experience. Some positions may require certification. All degrees must be received from appropriately accredited institutions.

Valid driver’s license required.

Recruitment Range

$64,000 - $66,000

Key Responsibilities – Detailed

Preventive & Corrective Maintenance Planning

Develop, schedule, and monitor preventive and corrective maintenance activities.

Provide technical support for MEP trades.

Create and maintain preventive maintenance programs and use CMMS to schedule work orders.

Coordinate schedules with trade shops and supervisors to minimize downtime.

Monitor program effectiveness and recommend improvements.

Work Coordination & Scheduling

Oversee daily scheduling and coordination of maintenance work.

Review work orders for scope, priority, and resource requirements.

Build weekly and monthly schedules balancing preventive, corrective, and project work.

Communicate schedules to supervisors, shop leads, and contractors.

Compliance, Safety & Regulatory Support

Ensure all work complies with applicable codes, standards, and safety requirements.

Conduct inspections and audits to maintain compliance with OSHA, EPA, and campus safety requirements.

Support specialized programs such as refrigerant management and asbestos abatement.

Provide compliance reports to leadership and regulatory bodies.

Program Development & Continuous Improvement

Lead initiatives to improve maintenance programs and processes.

Analyze maintenance data to identify trends and opportunities for improvement.

Recommend updates to preventive maintenance tasks and schedules.

Participate in campus initiatives related to energy efficiency, sustainability, and reliability.

MRO Stores & Parts Support

Assist with MRO parts management and inventory.

Define MRO parts, set reorder quantities, and catalog parts for maintenance activities.

Ensure parts availability aligns with scheduled work.

Stakeholder Communication & Reporting

Provide clear communication, reporting, and consultation with university stakeholders.

Prepare reports, dashboards, and presentations summarizing maintenance performance and compliance.

Represent Facilities Operations in planning meetings and cross‑departmental initiatives.
