Overview In this role, you’ll lead the effort to repair, optimize, and manage all aspects of the company’s accounting operations. You’ll assess and rebuild the QuickBooks structure, ensure smooth integrations with Bill.com, Insperity, and Paychex, and implement clear SOPs for consistency and scalability. You’ll oversee AP/AR, payroll, forecasting, and compliance while serving as a key financial partner to leadership.

Key Responsibilities

Accounting System Repair & Optimization : Assess the current QuickBooks setup, identify structural issues, and rebuild or correct configurations in alignment with accounting best practices. Clean, organize, and restructure the chart of accounts for clarity, scalability, and accurate reporting. Ensure integrations between QuickBooks, Bill.com, Insperity, Paychex, and other systems are functioning correctly. Establish and document standard operating procedures (SOPs) for ongoing bookkeeping and transaction management.

Accounts Payable & Accounts Receivable : Oversee and refine AP/AR workflows to ensure timely and accurate invoice processing, bill payments, collections, and reconciliation. Implement controls and review processes to reduce errors and improve cash flow visibility. Monitor outstanding receivables and payables; proactively resolve discrepancies.

Financial Forecasting & Reporting : Develop and maintain ongoing cost and expense forecasts to support funding requests, budgeting, and leadership decision-making. Produce timely, accurate month-end and ad-hoc financial reports. Support modeling of operational and personnel costs to align with growth plans.

Payroll Management (Insperity & Paychex) : Oversee payroll processing in

Insperity

to ensure accuracy, compliance, proper deductions, benefits handling, and timely payments. Reconcile payroll entries flowing into QuickBooks and maintain accurate payroll-related accounts. Manage contractor payments through

Paychex , ensuring correct classifications, timely payouts, and compliance with reporting requirements. Maintain accurate onboarding/offboarding workflows for employees and contractors across all systems.

Compliance & Controls : Ensure adherence to GAAP standards, internal controls, and audit-ready recordkeeping. Identify and mitigate risks across AP, AR, payroll, contractor payments, and general ledger processes.

Qualifications

5+ years of hands-on accounting experience, including QuickBooks Online system administration.

Proven experience fixing or rebuilding broken accounting systems or messy ledgers.

Strong knowledge of AP, AR, payroll (Insperity), contractor payments (Paychex), forecasting, and cash flow management.

Experience with Bill.com and other financial operations tools.

Ability to work independently, diagnose problems quickly, and implement practical solutions.

Preferred

Experience in startup or rapidly scaling environments.

Prior involvement in preparing financials for fundraising, grants, or investor reporting.li>

CPA or equivalent experience is a plus (not required).
