Overview
The purpose of this position is to ensure compliance with all grant reporting requirements and timelines, and to keep the department within grant budget ramifications.
It involves reconciling the county accounting system monthly to ensure accurate expenses are coded and billed to the correct grant funds or general funds, creating expense reports for state grant reporting, and working with managers to project revenue and expenses for all budgets.
Key Responsibilities
Reconcile county accounting system monthly and produce accurate expense coding for grant and general funds.
Create contractor expense reports and monthly general ledger entries.
Review all transactions for over 25 grant funds and create journal entries to correct errors.
Process invoices for payment, manage vendor interactions, and prepare employee credit card reconciliations.
Order supplies, create requisitions, and submit purchase orders.
Perform cash and bank reconciliations.
Maintain electronic file records.
Analyze data using Microsoft Excel and provide analytical support to personnel.
Support management staff during budget preparation and development for Federal State, and Local grant funders, and assist with the annual audit.
Perform other duties as assigned.
Budget Responsibilities Review, edit, and provide recommendations on county-wide and departmental budgets.
Project Responsibilities Provide research support on capital development projects.
Communication Duties
Oral: Explain county procedures and processes, conduct meetings, and lead group discussions.
Written: Create or edit documents, reports, and emails.
Public Interaction Interact regularly with internal coworkers and departmental personnel via telephone, email, or in person; incidental contact with the public may occur.
Customer Interaction (Internal) Continuously interact with internal coworkers and other departmental personnel throughout the year.
Qualifications
High School Diploma or GED with additional specialized or technical training courses.
One (1) year of directly related experience or equivalent combination of education, training, and experience.
Valid Driver’s License, if required by position duties.
Knowledge, Skills, and Abilities
Knowledge of administration and management, customer and personal services, finance, accounting, and federal, state, local laws and regulations.
Skills in active learning, analytical thinking, critical thinking, creative writing, problem solving, time management, systems analysis, typing and data entry, and multi-tasking.
Abilities to express self through written words, process multiple pieces of information, focus, multitask, and employ deductive reasoning.
Physical Demands
Constantly sit at a computer to complete reports and perform program duties.
Occasionally lift under 10 lbs.
Required dexterity for keyboard operation and routine walking, bending, stooping, and twisting.
Work Environment Office environment with minimal safety risk; rare exposure to telephone verbal abuse by customers or citizens.
Safety Risk Exposure Generally not exposed to safety risk; on rare occasions may become exposed to occasional telephone verbal abuse.
