Hospital Unit Secretary, Women Services, Per Diem, 7:00am to 7:30pm Hospital Unit Secretary facilitates department and patient flow and patient care by serving as a frontline ambassador in customer service, performing clerical duties and data entry functions.

Responsibilities

Prepares and maintains medical records: all pages labeled, forms and reports accurately placed.

Copies appropriate sections, thins, and breaks down charts as needed; sent to medical records or patient transfer.

Flags unsigned forms for signature, date, time and follows up to ensure completion.

Performs document scanning into electronic documentation management systems.

Maintains and updates bed tracking system to accurately reflect patient status in a timely manner.

Transfers and discharges patients in the computer system and updates unit census per entity standard.

Enters patient or unit charges and ensures computer census accuracy at shift beginnings and endings.

Prints forms for consults, documents telephone calls including date, time and person spoken to.

Maintains accuracy of patient status (e.g., observation, inpatient, telemetry).

Assists nurses with patient requests as needed, including transport of supplies and specimens.

May assist with delivery of meal trays, nourishment, and menu completion where applicable.

Obtains updated operating room schedule daily.

Maintains cleanliness of unit and nurse station.

Greets all visitors, answers patient call system and telephones, delivers messages to the appropriate person.

Maintains working knowledge of printers and other clerical equipment and reports malfunctioning or broken items.

Tracks equipment per unit/entity standard and assists with materials management (ordering supplies, forms, floor stock).

Orients new employees to the job and assists with collection and storage of patient belongings.

Assists with discharge and transfer of patients as needed (where applicable).

Demonstrates behaviors of service excellence and CARE values (Compassion, Accountability, Respect, Expertise).

Performs all other related job duties as assigned.

Unit-specific notes: BHH Unit Secretaries do not require patient transport, discharge assistance, or diet order verification.

Experience Generally requires 0 to 3 years of related experience.

Education High School diploma is required.

Skills Ability to analyze, organize, and prioritize work accurately while meeting multiple deadlines; effectively communicate orally and in writing; handle difficult and stressful situations with critical thinking and professional composure; understand and follow instructions; proficient with job‑appropriate technology and software applications; exercise sound and independent judgment; meet unit‑specific and organizational skills, competencies, certifications/credentials as required by the nursing area.

Credentials American Heart Association Basic Life Support (BLS) and any additional applicable life‑support certification for healthcare providers is required upon hire with at least 6 months validity and maintenance at JHS for the duration of employment. Unit‑specific credential BLS is required for non‑BHH units; BHH units are not required to have BLS certification.

Working Conditions Physical Requirements:

Job is sedentary with occasional standing or walking. Must lift or carry objects up to 20 pounds. Requires close visual acuity for extended computer use and data analysis.

Environmental Conditions Fast‑paced environment with occasional high‑pressure or emergent situations. Frequent interaction with a diverse population including team members, providers, patients, insurance companies, and members of the public. May involve exposure to communicable diseases, toxic substances, medicinal preparations, and other hospital settings. Personal Protective Equipment (PPE) such as gloves or mask may be required.
