Shift: Days 7am-7pm, 2 weekends per month

Employment: Full‑time

Summary Hospital Unit Secretary facilitates department and patient flow and patient care by serving as a frontline ambassador in customer service, performing clerical duties and data entry functions.

Responsibilities

Prepare and maintain medical records: label all pages, file forms, clinical reports and diagnostic studies accurately and on time.

Copy appropriate sections and thin or break down charts as needed; send thinned charts to Medical Records or transfer with the patient.

Flag unsigned forms for signature, date and time and follow up to ensure completion.

Scan documents into the electronic documentation management system.

Maintain and update the bed‑tracking system to reflect patient status in a timely manner.

Transfer and discharge patients in the computer system; update unit census per entity standard.

Enter patient or unit charges and ensure census accuracy at the beginning, with transfers and at the end of each shift.

Handle Computer Physician Order Management: print forms, document consult details, and ensure accurate patient status (observation, inpatient, telemetry, etc.).

Assist nurses with patient requests, transport of supplies and specimens, and, when applicable, delivery of meal trays and completion of menus.

Obtain and update the operating‑room schedule daily.

Maintain unit and nurse‑station cleanliness.

Serve as a frontline ambassador: greet all visitors, answer call system and telephones, deliver messages to appropriate personnel.

Maintain working knowledge of printers and other clerical equipment; report malfunctioning equipment and track equipment per unit/entity standard.

Assist with materials management, including ordering supplies, forms and floor stock.

Orient new employees to the job.

Assist in the collection and storage of patient belongings.

Verify active diet orders with RN as needed, and assist with discharge and transfer of patients as required.

Demonstrate the CARE values (Compassion, Accountability, Respect, Expertise) and provide service excellence.

Perform all other related duties as assigned.

Experience Generally requires 0 to 3 years of related experience.

Education High School diploma is required.

Skills Ability to analyze, organize and prioritize work accurately while meeting multiple deadlines; communicate effectively orally and in writing; handle difficult and stressful situations with critical thinking and professional composure; understand and follow instructions; use job‑appropriate technology and software applications; exercise sound independent judgment; meet and maintain all unit specific and organizational competencies, certifications or licenses as required.

Credentials

American Heart Association Basic Life Support (BLS); any additional applicable life support certification for healthcare providers required upon hire with at least 6 months validity and maintenance at JHS for the duration of employment.

Hospital Unit Secretaries working in BHH units are not required to have BLS certification.

Working Conditions Physical Requirements The role is predominantly sedentary, requiring sitting for extended periods, frequent standing or walking, and the ability to lift or carry up to 20 pounds. Close visual acuity is required for extended computer use, data analysis and other office tasks. Reasonable accommodations will be provided as needed.

Environmental Conditions Work occurs in a fast‑paced hospital environment with occasional high‑pressure or emergent situations, interfacing with diverse populations, including team members, providers, patients and the public. The position may involve exposure to communicable diseases, toxic substances and medicinal preparations. Personal protective equipment such as gloves or masks may be required.
