We have an opportunity for a motivated individual to fill the role of Payroll Coordinator. In this position, you will have the unique opportunity to play a critical role in ensuring accurate, compliant, and timely payroll operations across a multi‑entity organization. The role involves managing end‑to‑end payroll processing, supporting employees with payroll‑related needs, and partnering closely with Finance and HR to maintain operational excellence. This position will report to the Controller.

Why this role is important This Payroll Coordinator role is important because it serves as a critical bridge between employees, HR, and Finance, ensuring that the company’s most valuable resource—its people—are compensated accurately and in compliance with all legal and regulatory requirements.

Responsibilities

Process bi‑weekly, multi‑state payroll for employees across two FEINs using the company’s payroll system, ensuring compliance with all applicable payroll and tax regulations.

Review timekeeping data for accuracy and confirm supervisor approvals prior to payroll processing.

Accurately enter, maintain, and audit payroll data in payroll systems and supporting spreadsheets.

Manage payroll functions related to new hires, terminations, and employee status changes.

Assist employees with payroll‑related updates, including direct deposit changes and tax form revisions.

Process employee payroll changes such as pay rate adjustments, bonuses, and commissions.

Research and resolve payroll discrepancies and respond to employee payroll inquiries in a timely and professional manner.

Partner closely with the company’s payroll system to support organizational goals and resolve system‑related issues.

Prepare payroll reports and analyses for leadership and management as requested.

Assist with annual 401(k) and financial audits.

Prepare, record, and reconcile payroll journal entries in the company’s general ledger system.

Reconcile and process monthly benefit payments.

Record payroll‑related bank fees and charges.

Process garnishments and child support orders in compliance with legal requirements.

Assist HR with Budderfly Leave Policy applications.

Support HR with various projects and initiatives as needed.

Participate in new system implementations and process improvements as required.

Perform other duties and assist in special projects, as necessary.

Desired Skills and Experience

Minimum 5 years of related experience

High level of independent work ethic and integrity

Ability to work with multiple entities within an organization

Excellent analytical and communication skills

Ability to prioritize and manage multiple tasks in a fast‑paced environment

Knowledge of Microsoft Office products (Excel, Word, PowerPoint) is a requirement

Enterprise payroll system knowledge preferred

Compensation $70,000 – $80,000 USD
