Summary
The DOT Administrator is responsible for implementing DOT programs and policies within the organization to ensure compliance with DOT regulations. The DOT Administrator will work closely with management and employees to ensure regulatory compliance, identify potential hazards, mitigate risks, and foster a safe and compliant working environment.

Maintain company DOT compliance
Maintain proper DOT permitting and licensing across all companies.
Maintain DOT HAZMAT reporting, permitting, and training compliance
Support DOT audits and internal compliance reviews by providing documentation and reports as needed.
Maintain Safety & DOT compliance processes and programs
Maintain complete and accurate DOT driver qualification files for all CDL and non-CDL regulated drivers.
Review and Audit driver logbooks for all CDL Drivers.
Maintain driver rosters and assist with compliance communication and training scheduling.
Manage MVR Programs for all companies and states.
File proper Hazardous Material information.
Assist in development and maintenance of programs, policies, and procedures.
New Hire Safety and DOT set up
Set up new hires DOT platforms.
Assign required training.
Complete DOT new hire process.
Complete Safety pre-qualifications and DOT reporting/monitoring
Prepare reports for management and regulatory bodies as required.
Monitor CSA scores for all companies.
Maintain company D&A program
Update and manage D & A rosters.
Complete third-party D&A audits.
Send out D&A random testing and monitor for completion.
Qualification Requirements
Experience:
2–3 years of hands‑on experience in DOT / FMCSA compliance, fleet safety, or transportation safety
Direct experience administering DOT drug & alcohol testing programs (pre‑employment, random, post‑accident, reasonable suspicion)
Experience maintaining Driver Qualification Files (DQFs) in accordance with 49 CFR Part 391
Experience conducting or coordinating:
Annual MVR reviews
Medical certificate tracking
Clearinghouse queries (pre‑employment and annual)
Experience interpreting and applying FMCSA regulations in real operational settings
(Preferred Experience)
Experience supporting or leading DOT audits or compliance reviews
Experience working with CDL drivers in construction, pipeline, utility, or heavy civil environments
Experience using ELD systems and managing Hours of Service compliance
Experience coordinating with TPAs, drug & alcohol consortiums, and medical providers
Experience enforcing compliance actions, including removing drivers from service when required
Knowledge & Education:
Knowledge of 49 CFR Parts 382, 383, 390–399, including:
Drug & Alcohol Testing (Part 382)
CDL requirements (Part 383)
Driver Qualification Files (Part 391)
Hours of Service & ELDs (Part 395)
Vehicle inspections & maintenance (Part 396)
