Compensation: The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities This position will provide direct administrative support for 2‑3 gift officers within URMC Advancement. It requires strong computer and Microsoft Office skills to generate reports and prepare materials for donor visits, meetings, and other presentations. The role will assist with calendaring, travel, and event logistics, expense reports, and other general office duties. It requires the ability to properly handle confidential information in a professional manner, handle gift processing and related documents with a high degree of accuracy, and possess excellent organizational, written, and verbal communication skills. Proficiency with Excel and donor management databases is required.

Essential Functions Gift Officer Support

Meet with gift officers weekly and manage calendars as needed.

Prepare reporting and other documents as required.

Compile information for donor visits, mailings, and meetings.

Update donor and alumni information in Salesforce ascend and/or OASIS and assist with routine correspondence.

Arrange gift officer travel as needed and process expense reports promptly.

Event Support

Assist with small events (dinners, meetings, tours, etc.).

Create and maintain lists of invitees.

Prepare nametags, agendas, and printed materials.

Arrange space, technology, catering, and parking as required.

Attend off‑site events and outside normal business hours; support Meliora Weekend as needed.

Processing Expense Reports, Invoices, Database Updates

Maintain current training and certifications in Salesforce ascend, OASIS, Workday, and other technologies.

Handle invoices and expense reports in a timely manner.

Generate reports, update donor and alumni data, and research gifts/allocations.

Process gifts accurately and timely.

Save all gift documents according to department guidelines.

General Office Duties

Communicate effectively with all team members.

Manage email organization.

Assist with mailings as needed.

Triage mail for the department.

Assist with copier maintenance and supply storage.

Other duties as assigned.

Minimum Education & Experience

Bachelor's degree and minimum 1 year of relevant experience required.

Equivalent combination of education and experience accepted.

Experience in a marketing organization preferred.

Knowledge, Skills and Abilities

Excellent skills using Microsoft Office products (Outlook, Word, Excel).

Strong written and verbal communication skills preferred.

Practical experience in Workday and Salesforce products is a plus.
