About the Role We’re seeking a meticulous, NYC focused Residential Lease Administrator to own the end‑to‑end lease administration workflow for a mixed portfolio of fair‑market and rent‑stabilized units, as well as inclusionary/affordable lottery apartments. You’ll be the central point for preparing, executing, tracking, and auditing leases and riders, ensuring compliance with New York City and State requirements while partnering closely with leasing, property management, legal, finance, and compliance. This is a hybrid position based in New York City.

What You’ll Do

Draft, review, and process new leases, renewals, and extensions for fair‑market and rent‑stabilized units in alignment with RGB guidelines and applicable regulations (e.g., HSTPA, GCE, etc.).

Prepare required NYC riders/addenda (e.g., bedbug disclosure, window guards, lead paint, sprinkler, flood disclosure, smoke/carbon monoxide detectors, stove safety knobs, etc.) and ensure timely tenant acknowledgment and document retention.

Coordinate signatures (digital/on‑site), deliver executed lease packages, and manage security deposit setup and compliance per NY GOL.

Track initial leases, annual recertification (where applicable), income/rent limits, and report to agencies as required.

Yardi Voyager Administration

Create and maintain unit, tenant, and lease records in Yardi Voyager (including NYC workflows/modules), set rent schedules, concessions, riders, deposits, and renewal offers; ensure data accuracy and timely updates.

Build/maintain standardized reports (e.g., rent rolls, lease expiration schedules, renewal pipelines, occupancy/vacancy, concessions, deposit reconciliation) and distribute to stakeholders.

Compliance & Controls

Ensure accurate legal rent calculations for stabilized units; prepare and file lease registrations and renewal forms; track RGB changes and vacancy/IAI rules where applicable.

Maintain controlled document repositories and audit trails; respond to internal/external audits and agency requests.

Cross‑Functional Coordination & Tenant Experience

Partner with property manager, ownership, and leasing teams on offer terms, approvals, and move‑in logistics; coordinate welcome packages and move‑in readiness with building staff.

Work with finance/AR on billing commencement, proration, concessions, deposit accounting, and delinquency prevention.

Liaise with legal/risk/compliance on templates, riders, amendments, and policy updates.

What You’ll Bring

5+ years of residential lease administration experience in NYC property management/leasing.

Proficiency in Yardi Voyager and On‑Site (NYC workflows/modules; lease, tenant, unit, deposit, reporting).

Strong working knowledge of Fair Market and Rent‑Stabilized leasing, renewal cycles, RGB rules, and associated riders.

Detail obsession with contracts and compliance; ability to spot errors and resolve discrepancies quickly.

Excellent communication and stakeholder management; comfortable driving timelines across teams.

Strong Excel/reporting skills; familiarity with digital signature platforms and document management tools.

Success Metrics

99%+ accuracy across executed lease packages and system entries.

On‑time processing of renewals and registrations; no missed compliance deadlines.

Clean audit results and reconciliations (deposits, rent schedules, riders).

Shortened lease cycle times and reduced rework/error rates.

Education & Certifications (Preferred)

Bachelor’s degree in Business, Real Estate, or related field.

Yardi training/certifications a plus.

Exposure to NYC agency workflows (HPD/HCR/HDC/Housing Connect) preferred.
