Job Summary The Program Data Coordinator plays a vital role in supporting the mission of the Undergraduate Health Sciences Academy (UHSA) by managing scholar tracking, coordinating program operations, and ensuring accurate, timely data collection to support student success and program evaluation. This position serves as a central point of contact for UHSA scholars, faculty, and administrators, providing logistical, administrative, and analytical support across the program. This position is funded through Title III sponsored funds. Continuation of employment is based upon availability of funds.

Responsibilities Data Management & Scholar Tracking
Track UHSA scholars throughout their academic progression, including enrollment, retention, academic performance, experiential learning, and professional development milestones.
Maintain accurate and up-to-date records in institutional and program-specific databases.
Collect, organize, and analyze quantitative and qualitative data related to program outcomes.
Produce regular reports for internal use, grant reporting, accreditation, and institutional planning purposes.
Identify trends or areas of concern related to scholar performance and communicate findings to program leadership.
Student Support & Liaison Role
Serve as a primary point of contact for UHSA scholars regarding program requirements, academic resources, and professional development opportunities.
Liaise with scholars to interpret and evaluate their academic and professional needs, referring students to appropriate campus resources as needed.
Assist in coordinating student participation in workshops, advising sessions, enrichment activities, and program events.
Administrative & Program Operations
Process administrative forms, program authorizations, approvals, and documentation required for UHSA activities.
Manage scheduling and logistics for program meetings, seminars, and student‑facing events.
Coordinate purchasing and payment processes for student and faculty travel, supplies, materials, and program-related expenses.
Maintain organized filing systems (digital and physical) for program documentation, travel requests, receipts, compliance forms, and student records.
Assist in preparing materials for grant reporting, audits, and compliance reviews.
Program Support & Communication
Help coordinate communication between UHSA, academic departments, partner organizations, and external collaborators.
Draft and distribute program announcements, newsletters, and informational materials as directed.
Support the planning and execution of events such as orientations, award ceremonies, professional development workshops, and recruitment activities.
Assist with monitoring program budgets and financial tracking in collaboration with the Program Director.
Other Duties as Assigned
Provide administrative backup support to the Program Director and other UHSA staff when needed.
Participate in professional training related to student data systems, compliance, and program assessment.
Perform additional responsibilities that support the goals and growth of the UHSA.
Required Qualifications
Bachelor's degree in a relevant field (e.g., education, public health, biology, data analytics, social sciences, or related discipline).
Strong organizational, analytical, and communication skills.
Ability to maintain confidentiality and manage sensitive student data in compliance with FERPA.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and comfort with databases or data platforms.
Preferred Qualifications
Experience working with academic programs, student success initiatives, or data management in a higher education setting.
Familiarity with institutional systems such as Banner, Navigate, or similar student information systems.
Experience with data visualization tools (e.g., Tableau, Power BI) or academic assessment processes.
