Role As Office Manager, you are responsible for ensuring the smooth, efficient, and professional daily operations of the office. This full-time role demands proactive oversight of the office environment, coordination of schedules and services, and exceptional administrative support. You will act with discretion and independence, minimizing the executive team's logistical load while maintaining a productive and organized workplace.

Responsibilities

Answer and manage all inbound calls professionally, following up with appropriate team members

Communicate proactively with leadership regarding office needs, schedules, and urgent matters

Coordinate calendar appointments, meetings, bookings, and vendor appointments

Manage email, correspondence, mail, packages, and document organization

Travel coordination support when needed for leadership team

Coordinate daily, weekly office schedules and team time off

Manage office supply inventory, ordering, and restocking of essential items

Maintain cleanliness and organization of common areas, conference rooms, and workspaces

Results

The PFG client first mission is fulfilled for every interaction

Office runs smoothly and budget is followed

Content is captured and delivered to design team

Leadership receives timely updates regarding operations and urgent matters

Office remains clean, organized, professional, and stocked with necessary supplies

External vendors and services are coordinated effectively with minimal oversight from leadership

The team's time spent on administrative efforts is significantly reduced

Requirements

1+ years of experience in office management, administrative support, or operations coordination

Highly reliable, punctual, and trustworthy

Professional, warm, and courteous demeanor with clients, team, and visitors

Strong organizational abilities and ability to manage multiple responsibilities independently

Exceptional attention to detail and ability to anticipate office needs

Proficiency with software (email, calendar management, spreadsheets)

Comfortable coordinating vendors and managing service timelines
