Quality Assurance Specialist

VCU School of Education . The Quality Assurance Specialist (QAS) will be responsible for conducting assessments of current critical incidents submitted by disability service providers across Virginia on a quarterly basis. The QAS will conduct record reviews of critical incidents using provider documentation and quality improvement data systems. The goal of the record reviews is to ensure compliance with critical incident reporting standards and requirements.
This is a remote‑based position that will be completed during normal business operation hours. The position is for a minimum of 10 hours per week with additional hours as necessary, not to exceed 27.5 hours per week, Monday through Friday between the hours of 9 am–7 pm. Workload fluctuates throughout the quarter based on reporting and sample‑generation timelines; some weeks may have minimal or no assigned tasks, followed by periods of higher activity aligned with scheduled deliverables.
Responsibilities Quality Assurance Specialists Are Expected To
Utilize personal phone and internet service for all communications related to this job, including sharing a contact number with disability service providers and other VCU staff members
Access web‑based critical incident, provider, and quality improvement data systems to conduct record reviews of critical incidents submitted by disability service providers across the state of Virginia
Generate data reports as required to complete job responsibilities
Utilize multiple data systems simultaneously to complete job responsibilities
Communicate with disability service providers across the state of Virginia
Review provider documentation thoroughly
Complete documentation of review activities in an online data management system
Provide detailed summary reports of quality assurance findings to the IM Project Manager
Problem‑solve difficult/complex situations and process issues with providers
Conduct provider follow‑up as necessary that is consistent with established protocols
Participate in inter‑rater reliability protocols along with staff meetings and calls
Complete required training in order to successfully complete responsibilities
Follow all HIPAA and other data security measures to ensure privacy and confidentiality standards are met
Use an online timekeeping system consistently and accurately
Respond to communication from the IM Project Manager in a timely manner
Communicate issues to the IM Project Manager immediately
Other duties as assigned
Required Qualifications
Minimum of 5 years of working in the disability services field
Knowledge and experience with quality assurance systems, quality control and/or performance monitoring
Knowledge and experience working with people with developmental disabilities and within the developmental disabilities services system
Proficiency using Google Workspace/Suite products, Email, Excel, Microsoft Office and a personal computer
Effective written communication skills, especially via email
Demonstrated ability to work with large amounts of electronic data
Strong experience with web‑based data entry
Self‑initiation with the ability to work independently
Strong decision‑making, analytical and problem‑solving skills
Ability to organize and prioritize work responsibilities to meet deadlines
Consistent and reliable access to a phone and internet service
Demonstrated experience working in and fostering an environment of respect, professionalism and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU
Preferred Qualifications
Bachelor's degree in human services or related field
Experience in disability services case management or in the direct support of people with developmental disabilities
Knowledge and experience with critical incident reporting processes
Experience with REDCap
Experience with the CONNECT, Computerized Human Rights Information System (CHRIS) or other state disability data management systems
Experience completing desk reviews or audits related to quality assurance
Experience with Zoom, Microsoft Teams, Duo Authentication processes and VPN‑based applications
