VaVa Virtual Assistants is a remote company based out of Atlanta, Georgia. We help businesses thrive by connecting them with one of our virtual professionals for specialized support across various industries. While our team is remote, we enjoy getting to know one another through daily conversation, project collaboration, and all-company virtual gatherings.

We are looking for a skilled Bookkeeper who is capable of managing the account and client relationship. You will be responsible for running your service seamlessly and efficiently to ensure client satisfaction. To succeed in this role, you must be self‑motivated, self‑disciplined, and demonstrate a level of expertise that qualifies you to be a trusted advisor to our clients. This role will include regular calls with clients and other contractors, and will reflect our company’s mission, vision and values.

Expectations

Represent VaVa Virtual Assistants in a positive and professional manner.

Handle client accounts, anticipate needs, communicate progress and solve challenges.

Deliver high‑quality and detail‑oriented work, adhere to engagement hours.

Operational Responsibilities

Provide administrative support to clients; collaborate with VaVa team members.

Effectively manage tasks, projects and deadlines to meet client expectations.

Maintain open communication with clients, stakeholders and the VaVa team.

Protect sensitive and confidential information.

Responsibilities

Set up/maintain client accounts in designated bookkeeping software.

Support clients with accounting processes and bookkeeping services.

Enter transactions, reconcile bank, credit card, and long‑term account statements; assist with month‑end close.

Problem‑solve and make last‑minute adjustments based on client preferences and chart of accounts.

Maintain an orderly filing system; calculate variances from budget and report issues.

Create, issue and process client invoices.

Communicate with client customers via email and phone to ensure receivables are collected.

Process monthly accounts payable and record company expenses.

Prepare company financial statements (balance sheets, P&L, etc.) and report to management.

Assist external auditors with financial reports.

Comply with all local, state and federal reporting requirements.

Provide timely and accurate communication with clients on all tasks.

Work confidently in a fast‑paced environment and collaborate effectively with others.

Manage competing priorities and meet deliverables.

Create documents as requested by clients.

Use stellar grammar and organization in all written communications.

Learn client preferences and tailor work accordingly.

Complete additional bookkeeping tasks as requested.

General Qualifications

Must reside and be authorized to work in the United States.

At least 3 years of experience performing the responsibilities listed above.

At least 3 years of experience working full‑time in a virtual role.

Associate degree in Accounting or related field preferred.

Knowledge of GAAP.

Available at least 20 hours per week for high‑touch clients.

Technical Qualifications

Knowledge of accounting software, scheduling, project management, and CRM tools.

Experience with financial management and handling last‑minute changes.

Proficient in high‑volume bookkeeping, reconciling, expenses, invoicing, and payment processing.

Strong experience with Google Suite, Microsoft Office, Calendly, Slack, and project management tools.
