Job Summary
The Construction Billing Specialist is responsible for preparing, processing, and managing accurate and timely billing for construction projects. This role works closely with project managers, accounting, and clients to ensure compliance with contract terms, lien laws, and project requirements while maintaining detailed billing records.
Key Responsibilities
Prepare and submit monthly progress billings (AIA and non-AIA formats)
Review contracts, change orders, and subcontract agreements to ensure accurate billing
Track project costs, retainage, and job budgets
Process time-and-material (T&M) billings and cost-plus billing
Coordinate with project managers to resolve billing discrepancies
Manage lien waivers, certified payroll, and compliance documentation
Monitor accounts receivable and follow up on outstanding payments
Maintain organized billing files and project documentation
Assist with month-end close and audit requests as needed
Ensure billing complies with contractual terms and industry regulations
Required Qualifications
High school diploma or equivalent (Associate’s degree in Accounting or Finance preferred)
2+ years of construction billing or construction accounting experience
Strong understanding of construction contracts, AIA billing, and retainage
Proficiency in Microsoft Excel and accounting software
High attention to detail and accuracy
Strong organizational and time-management skills
Ability to work independently and meet deadlines
Preferred Qualifications
Experience with construction software (e.g., Sage 300, Viewpoint, Procore, QuickBooks)
Knowledge of lien laws and certified payroll requirements
Experience working with subcontractor billings and pay applications
