Responsibilities These positions work at multiple practices within the Florida Medical Practice Plan, including FSU PrimaryHealth™, FSU SeniorHealth™, FSU BehavioralHealth™, FSU Neuromodulation™ and FSU Health Lipidology™. Primary location/practice will be determined and assigned based on practice needs and individual abilities/availability.
Aids in all aspects of patient care in conjunction with administrative and clinical staff. Maintains confidentiality of all personal health information.
Clinical Duties
Under the direction of the Office Manager, performs all aspects of patient intake, including taking accurate histories, vital signs, vision and hearing screens, and other screenings or questionnaires as needed.
Ensures all electronic health record (EHR) information is current.
Sets up for and assists providers with exams and procedures.
Gives injections and handles minor procedures such as collection and testing of specimens, casting, splinting and applying dressings, as needed.
Participates in motivational interviewing and self‑management support techniques.
Performs high‑level disinfection.
Assists with patient needs between visits.
Triages patient phone calls and provides in‑basket management support.
Notifies patients of test results and follow‑up needs.
Manages patient expectations and resolves concerns independently.
Schedules diagnostic testing and obtains prior authorizations as needed.
Assists with traces and regulatory readiness for quality and patient care.
Performs as medical scribe for assigned clinician, documenting visits in real time and completing clinical notes for review and approval.
Works with Office Manager and physicians to develop standardized documentation protocols and procedures.
Performs other clerical duties to improve provider productivity and clinic workflow as assigned.
Administrative Duties
Acts as first point of contact to patients who walk in or call to schedule an appointment.
Schedules patient healthcare appointments for multiple clinics.
Utilizes facility protocols to determine appropriate placement of patients based on presenting problem.
Answers all calls according to practice policies and procedures in a timely professional manner.
Screens incoming phone calls, answers routine questions and forwards inquiries to appropriate departments.
Assists in monitoring the schedule and removing patients from appointments when they do not show.
Maintains communication with nursing staff regarding unscheduled patients.
Verifies patient insurance eligibility status and registers patient in EMR.
Provides information and support to patients regarding available services and directs them to appropriate departments/offices.
Cancels/reschedules appointments according to facility guidelines.
Initiates telephone encounters for clinical staff to return calls regarding questions or concerns.
Communicates appropriate information to supervisors and providers as necessary.
Checks patients in and out in a professional, timely and hospitable manner following clinic check‑out and cash handling policies.
Collects copayments, prepayments, bad debt, self‑pay balances, and balances and closes batches daily with 100% accuracy.
Demonstrates knowledge of third‑party payers, billing, accounts receivable functions and payment codes.
Attends and participates in scheduled departmental meetings, committees, in‑service presentations, training and mandatory education programs.
Promotes an atmosphere of teamwork in accomplishing practice mission and goals.
Qualifications
High school diploma or GED and at least two years of work experience (post‑high‑school education can substitute for experience).
Valid Certified Medical Assistant Certification or Registration (CMA, NCMA, RMA or CCMA).
Current Basic Life Support (BLS) Healthcare Provider Certification issued by a certifying agency.
Experience demonstrating effective customer service skills.
Experience communicating effectively verbally and in writing.
Experience performing accurately in a detail‑oriented environment.
Experience prioritizing, organizing, and performing multiple work assignments simultaneously.
Experience utilizing problem‑solving skills.
Experience with computer applications such as EHR, Microsoft Word, Excel, and/or Outlook.
Ability to understand and follow written and verbal instructions.
Ability to perform basic mathematical calculations.
Ability to perform assigned responsibilities with minimal to moderate supervision.
Post‑job offer prerequisites: documentation of current Purified Protein Derivative (PPD) test and recent physical examination within six months.
Within 30 days of hire, documentation of tetanus immunization within 10 years and Hepatitis B vaccine or positive antibody titer.
Preferred Qualifications
Knowledge of available medical resources and terminology.
Experience with collection and/or cash handling procedures.
ABR‑OE credentials highly preferred.
Experience preparing clear and concise reports, procedures, correspondence, or other written materials.
