Position Overview The Events Director is responsible for planning, coordinating, and executing private and public events at King Family Vineyards. This includes weddings, corporate gatherings, winery‑hosted events, and on‑site experiences. The Director ensures seamless communication, high service standards, and memorable guest experiences that uphold the King Family Vineyards brand.
Key Responsibilities Event Planning & Coordination
Serve as the primary point of contact for clients, planners, and vendors throughout the event process.
Conduct site tours and consultations to secure bookings and provide detailed guidance on venue capabilities.
Support clients and vendors in understanding timelines, logistics, and policies.
Draft, issue, and manage event contracts, invoices, and related documents.
Schedule and coordinate food trucks for on‑site events.
Develop programming calendar for public events and assist with coordinating wine club‑related events.
Event Execution
Oversee all on‑site event operations to ensure alignment with client expectations and winery standards.
Coordinate vendors, caterers, and rental partners during setup, event hours, and breakdown.
Provide leadership and direction to the events team; collaborate closely with tasting room and hospitality staff.
Ensure compliance with ABC regulations, safety procedures, and winery policies.
Client Relations & Customer Service
Deliver a consistently high level of hospitality and professionalism for all event clients.
Maintain proactive communication throughout the planning and event process.
Manage on‑the‑spot challenges with composure and creative problem‑solving.
Support post‑event follow‑up, client feedback, and relationship‑building initiatives.
Sales & Client Development
Proactively generate leads and secure bookings for weddings, banquets, corporate outings and special events.
Maintain strong relationships with past clients to encourage repeat business and referrals.
Create and execute sales strategies to meet or exceed monthly and annual event revenue goals.
Administrative & Operational Support
Maintain internal event calendars, booking systems, and coordination workflows.
Track event metrics, assist with budgeting, forecasting, and financial reporting as needed.
Contribute to continuous improvement of event processes and guest experience standards.
Team Leadership & Collaboration
Schedule, manage, and provide leadership to the events team, ensuring smooth operations and high service standards.
Collaborate with the General Manager on hiring and maintaining the events team.
Provide ongoing coaching, feedback, and performance guidance to team members to ensure professional development and excellence in guest service.
Qualifications
Must be at least 21 years of age.
Minimum 3 years of event management experience in hospitality, venue operations, or a similar environment (preferred).
Excellent organizational and multitasking skills with excellent attention to detail.
Strong problem‑solving skills and the ability to work both autonomously and collaboratively with the operations team.
Exceptional communication and customer service skills.
Experience with Nurture Pro, Microsoft Office Suite, TripleSeat, Calendly, Commerce7, and Google Workspace preferred.
Ability to lift up to 40‑50 lbs. and remain on your feet for extended periods.
40+ hours/week
Availability to work evenings, weekends, and holidays based on event schedule.
