Academic Service Administrator — Baldwin Group School of Risk Management & Insurance (Finance) This position reports to the School Director and supports a broad range of administrative duties related to instruction, curriculum development, quality assurance, accreditation, course scheduling, and program marketing. It requires extensive knowledge of university and department policies, the ability to apply and interpret them, and a strong analytical approach to support faculty and students. The role is based in Tampa with occasional travel to the Sarasota campus.

Qualifications

Master’s degree in education or a related field, or a bachelor’s degree in a related field with a minimum of two years of academic administrative experience.

Must satisfy Florida Senate Bill 1310 credit‑equivalency requirements:

Two years of experience for an associate degree

Four years of experience for a bachelor’s degree

Six years of experience for a master’s degree

Seven years of experience for a professional degree

Nine years of experience for a doctoral degree

Responsibilities Administrative Support

Coordinate, manage, oversight and supervise academic departmental operations.

Oversee purchase requests, ensuring spending is within budget and provide guidance on university policies and procedures related to Business & Finance Shared Services (BFSS).

Prepare and submit HR appointment requests for faculty, adjuncts, staff/admin, graduate assistants, PhD students, and OPS employees; collaborate with the college designee on student Visa issues if needed.

Assist with planning workshops, retreats and school meetings, including room/venue coordination and purchasing requirements.

Liaise with the college's communications and marketing team to update webpages and print materials; coordinate and schedule advisory board meetings.

Academic Support

Assist the Director in preparing the semesterly course schedule for all graduate and undergraduate programs within the school.

Prepare course projections over three academic years in collaboration with the Director and college advisors.

Assist with graduate admission processes including scheduling student interviews, program onboarding, scholarship coordination, and responding to general student inquiries.

Provide oversight of Student Excellence Grants and Scholarship Processes.

Serve as the main contact for appointments and follow up with candidates on offers; main contact for job advertisements.

Faculty Support

Work in USF systems such as FAIR, Archivum and Xitracs for faculty evaluations, workload documentation, and credentialing.

Coordinate the recruitment and credentialing of adjunct faculty.

Coordinate the school's faculty search committee process, including scheduling, meeting minutes, and other administrative duties.

Ensure faculty are kept up to date on deadlines throughout the year (course creation, book orders, evaluations, etc.).

Work with the Director to complete faculty evaluations in Archivum.

Other Duties

Provide oversight and backup training of staff that assist with programmatic activities.

Perform other administrative and analytical duties supporting the academic mission of the school and college, as needed.
