JOB DESCRIPTION
Become an integral part of the NE Capital Commercial & Investment team, supporting senior executives in a fast-paced, high-performance financial environment. This role offers daily exposure to executive-level decision-making, cross-border operations, and interaction with investors, advisors, and partners across the U.S. and Brazil.
As an Administrative / Executive Assistant, you will act as a trusted partner to leadership, representing the firm with professionalism, discretion, and exceptional attention to detail. You will be expected to operate with autonomy, anticipate executive needs, and deliver flawless execution in a results-oriented setting.
KEY RESPONSIBILITIES
Manage complex executive calendars across multiple time zones (U.S. and Brazil) Screen and prioritize calls, emails, and requests with discretion and sound judgment Coordinate logistics for internal and external meetings, including board and investor meetings Arrange and manage complex domestic and international travel itineraries Organize internal and external events, including executive meetings, catering, and transportation Process invoices, vendor payments, and travel & expense reports in accordance with internal policies Support onboarding and offboarding processes, including system access and equipment setup Draft, review, and format executive-level emails and professional communications Maintain confidential department documentation, including organizational charts and executive bios Proactively manage routine responsibilities and anticipate executive needs Assist in preparing, editing, printing, and binding presentations and spreadsheets for executive and client meetings PROFILE & QUALIFICATIONS

Minimum of 2 years of experience in administrative or executive assistant roles Exceptional organizational skills with the ability to manage competing priorities Proven discretion and experience handling confidential information Strong interpersonal, written, and verbal communication skills Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word) Polished telephone etiquette and executive-level professionalism Ability to work full-time on-site in Miami or New York Preferred Qualifications
Background in investment banking, private equity, asset management, or financial services College degree is a plus Portuguese and/or Spanish proficiency is a plus (international environment) DIVERSITY & INCLUSION
