Key Responsibilities of the Executive Assistant
- Oversee intricate scheduling needs, coordinating meetings and ensuring timely follow-through on key priorities.
- Handle end-to-end travel planning—domestic and international—including flights, accommodations, transportation, and logistical details.
- Assemble and distribute agendas, briefings, and essential documents in advance to ensure leadership is fully prepared for every meeting.
- Monitor progress on cross-functional initiatives, driving tasks to completion with proactive updates and clear communication.
- Act as the primary point of contact and dependable representative for the executive office.
- Deliver personal assistant support and manage day-to-day operations with professionalism, enthusiasm, and a hands‑on approach.
- Safeguard sensitive information, upholding the highest standards of confidentiality and integrity.
- Assist with internal communications, proofread materials, process expense reports, and complete general administrative work.
- Contribute to special assignments and strategic projects as directed by executive leadership.
Qualifications of the Executive Assistant
- Minimum of 2–5 years of experience in executive support, preferably working closely with senior leadership or UHNW individuals.
- Strong proficiency in Microsoft Office Suite—Outlook, Excel, Word, and PowerPoint.
- Exceptional organizational abilities and the skill to juggle multiple priorities with ease.
- Outstanding written and verbal communication skills.
- Meticulous attention to detail.
- Proven track record of handling confidential information with the utmost discretion.
- Excellent problem‑solving skills combined with sound judgment and decision‑making ability.
- Energetic, empathetic, and client‑focused, with a readiness to tackle any task, big or small.
- Bachelor’s degree preferred but not mandatory.
