Position Summary
The Executive Assistant provides high-level administrative and operational support to the Chief Technology Officer (CTO) and the Operations/Engineering leadership teams. This role focuses on coordinating projects, managing information flow, compiling performance metrics, and ensuring smooth execution of organizational priorities. The Executive Coordinator acts as a central hub for communication and follow-through, bridging strategic objectives with day-to-day operations.
Essential Duties And Responsibilities
- Support the CTO and leadership team by organizing meetings, preparing agendas, and proactively tracking action items.
- Coordinate communications across departments to ensure alignment with organizational priorities.
- Manage scheduling logistics and assist with travel and event coordination as needed.
- Develop and distribute detailed and accurate materials and agendas to ensure leadership meetings are structured and productive.
Leadership Coordination
- Support the CTO and leadership team by organizing meetings, preparing agendas, and proactively tracking action items.
- Coordinate communications across departments to ensure alignment with organizational priorities.
- Manage scheduling logistics and assist with travel and event coordination as needed.
- Develop and distribute detailed and accurate materials and agendas to ensure leadership meetings are structured and productive.
Project & Program Support
- Assist in planning, monitoring, and reporting on Operations and Engineering initiatives.
- Maintain project trackers, timelines, and documentation to ensure accountability across workstreams.
- Facilitate collaboration between stakeholders to ensure deliverables are completed on schedule.
Metrics & Reporting
- Compile weekly and monthly operational metrics across manufacturing, supply chain, quality, and R&D.
- Prepare dashboards and standardized reporting templates to track progress toward KPIs and strategic objectives.
- Support quarterly reporting cycles with data summaries and presentation materials.
Presentation & Documentation Support
- Assist in preparing executive-level presentations for Board meetings, strategy reviews, and quarterly business reviews.
- Draft memos, updates, and communication materials for leadership distribution.
- Ensure consistency in formatting and messaging across departmental documentation.
Operational Coordination
- Organize logistics meetings, workshops, and offsite sessions.
- Support administrative functions such as onboarding coordination, vendor arrangements, and document management.
- Act as a liaison across teams to ensure timely updates and follow-through on key initiatives.
Qualifications
- 3-5 years of experience in project coordination, executive support, or operations roles.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, project management tools).
- Strong organizational skills with attention to detail and ability to manage multiple priorities.
- Excellent communication and interpersonal skills; able to collaborate across diverse teams.
- Experience in life sciences, medical devices, or manufacturing/engineering environments is preferred.
Preferred Qualifications
- Five plus prior experience in mid- to senior-level administration, business, pharmaceuticals, medical device or biotech, hospital or medical, management, or related field.
- IAAP Certified Administrative Professional (CAP) or professional certification in office management preferred but not required.
- Bachelor’s degree in business administration or related field preferred but not required.
