Senior Executive Assistant

Location: New York City/Midtown

Position: Contract or Contract to Hire

Base pay range: $50.00/hr - $60.00/hr

We are a boutique recruiting firm in NYC with 20+ years of experience. This confidential posting seeks a highly resilient and self‑driven Executive Assistant to support senior leaders within a prestigious private investment firm. The role requires exceptional emotional intelligence, discretion, and the ability to navigate high‑stakes situations with confidence and composure. You will serve as a trusted partner with light Chief of Staff responsibilities.

Key Responsibilities:

  • Manage communications, calendars, and priorities for Managing Directors and senior leaders within the Private Investment group.
  • Act as a strategic partner with light Chief of Staff duties, including coordinating cross‑functional projects, tracking key initiatives, and ensuring follow‑through on priorities.
  • Serve as travel agent and coordinator, managing all aspects of complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries.
  • Handle confidential and sensitive matters with discretion and maturity.
  • Organize and monitor all email correspondence, calls, and stakeholder interactions.
  • Coordinate meetings and logistics with precision and foresight.
  • Prepare materials for meetings, presentations, and internal communications.
  • Process and submit expense reports in a timely manner.
  • Build strong relationships across teams and with external partners.
  • Facilitate activities associated with board memberships and external organizations.
  • Adapt quickly to changing priorities and support team initiatives.

Qualifications:

  • Minimum 5 years providing senior executive‑level administrative support.
  • Bachelor's degree preferred.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Experience coordinating complex travel arrangements and serving as a travel coordinator.
  • Superior written and oral communication skills with strong attention to detail.
  • Proven ability to handle sensitive information with tact and discretion.
  • Calm under pressure with flexibility to work with various leadership styles.
  • Ability to work on‑site five days a week.
