Position Overview
We’re looking for a Production Coordinator who can keep the creative engine running smoothly, a highly organized, proactive, and detail-oriented individual who thrives in a fast-paced, collaborative environment.
You’ll work directly with Assistant Director & Creative Producer, Jada Scott, serving as her right hand in managing production logistics, scheduling, communication, and day-to-day coordination. From planning pre‑production timelines to keeping shoots on track, your role ensures that every moving part lands exactly where it should.
This role requires a mix of administrative strength, production knowledge, and creative intuition. You’ll be in-office during the week and on set during shoot days, supporting the team across all stages of production.
Responsibilities
Pre‑Production
- Support the AD/Creative Producer in preparing call sheets, shot lists, and production schedules.
- Coordinate communication with crew, talent, and clients before each shoot.
- Organize creative briefs, production documents, and timelines within Captiv’s workflow systems (Google Drive + Notion).
- Assist with vendor communication, rate confirmations, and production resource coordination.
- Help source props, wardrobe, and location materials as needed.
Production
- Attend all shoot days to assist with on-site coordination and logistics.
- Manage crew and talent check-ins, time tracking, and production flow.
- Oversee craft services, set organization, and gear checklists.
- Track progress against the schedule and communicate real-time updates to Jada.
- Capture light BTS footage or content for social (bonus, not required).
Post‑Production & Administration
- Coordinate deliverables between editors, colorists, and producers.
- Maintain consistent file naming conventions and asset tracking.
- Assist with internal and client review processes, ensuring feedback rounds are logged and clear.
- Keep weekly project updates organized and documented for reporting.
- Support invoice tracking, receipts, and expense organization following each shoot.
Requirements
- 1–3 years of production coordination or similar experience in a film, commercial, or agency setting.
- Proficient in Google Workspace (Docs, Sheets, Drive) and Notion.
- Strong verbal and written communication skills — clarity and follow-up are your superpowers.
- Ability to handle multiple projects simultaneously while staying organized.
- Comfortable being on set and collaborating with creative professionals.
- Calm under pressure, reliable, and solutions-oriented.
- Must have reliable transportation and flexibility for early call times or occasional extended shoot days.
