Production Coordinator

Uncle Toad's, a dynamic and innovative company in the world of live broadcast and action sports, is seeking an experienced and enthusiastic Production Coordinator to join our team. This is a remote, part-time role for approximately six months, with potential to extend beyond the initial term.

Key Responsibilities

  • Provide direct support to the Head of Production across all phases of production, including pre-production planning, event preparation, live/on-site execution, and post-event reconciliation.
  • Manage and maintain detailed production tracking documents, including schedules, crew lists, travel grids, calendars, timelines, task lists, budgets, and deliverables.
  • Create, update, quality-check, and distribute production books, schedules, call sheets, technical documents, catering/craft service plans, and related logistical materials for internal teams and external partners.
  • Coordinate meetings and calls, set meeting agendas, take thorough notes, track action items, and proactively follow up to ensure tasks assigned by company leadership are completed.
  • Support schedule oversight, cost tracking, invoice processing and review, production credit card reconciliation, expense reports, and payroll coordination.
  • Assist with crew and vendor vetting, outreach, onboarding, and hiring logistics, deal memos, paperwork collection, availability tracking, and maintaining contact databases.
  • Coordinate all production-related travel and logistics, including airfare, accommodations, ground transportation, freight/shipping, itineraries, and carnets, ensuring accuracy, compliance, and budget alignment.
  • Serve as a point of contact for broadcast crew communications, internal teams, and external vendors and suppliers.
  • Support on-site production operations by managing PA’s, daily schedules, call times, production notes, on-site logistics and adapting to rapidly changing logistics in a live-event environment.
  • Assist with post-production coordination as needed, including tracking deliverables, deadlines, wrap reports, and communication between production, post, and company stakeholders.
  • Provide general administrative and operational support as required to keep production workflows organized and running smoothly in a fast-paced live production environment.

Qualifications

  • 3+ years of experience in production coordination with large crews, preferably within live broadcast or live sports broadcasts.
  • Demonstrated experience in office-based pre-production coordination with a strong emphasis on administrative rigor and detail management.
  • Advanced proficiency in Google Sheets and/or Excel, including strong working knowledge of formulas, tracking systems, and data organization; experience with Google Apps Script is a plus.
  • Experience supporting invoice reviews, cost tracking, expense reconciliation, and payroll coordination; familiarity with Paychex, Revolution or similar payroll systems is highly regarded.
  • Highly organized and self‑motivated, with exceptional attention to detail and the ability to independently manage multiple deliverables, deadlines, and complex logistics.
  • Strong interpersonal and communication skills, with the ability to collaborate effectively across teams and with external partners.
  • Comfortable operating in fast‑paced, high‑pressure environments with shifting priorities.
  • Willingness to travel and enthusiasm for working on location for live productions.

Pay Range: $1500-$1800/week

Location: Los Angeles or Southern California locals is ideal but not mandatory for the right person.
