The Wholesale Operations Associate plays a key role in supporting our wholesale business by managing day-to-day operational needs across retail and distributor channels. This role works cross-functionally with Sales, Supply Chain, and Finance to ensure accurate order processing, smooth fulfillment, inventory visibility, and strong partner relationships. The ideal candidate is detail-oriented, highly organized, and comfortable operating in a fast-paced, growing brand environment.
Key Responsibilities Wholesale Order Management
Process and manage wholesale purchase orders from large retail chains and distributor partners
Ensure accuracy of pricing, product details, freight terms, and delivery timelines
Coordinate order confirmations, invoicing, and follow-ups with internal teams and external partners
Update distributor NIFs for new items and brand launches
Distributor & Retail Partner Support
Serve as a primary operational point of contact for distributor and retail partners
Support distributor onboarding and account maintenance, including setup of systems, pricing, and product information
Assist with managing state-by-state distributor relationships, compliance requirements, velocities, and stock levels
Inventory & Supply Chain Coordination
Monitor inventory levels and communicate availability to Sales and partners
Relay and monitor chain programs with distributor and direct partners
Coordinate with fulfillment centers, 3PLs, and logistics partners to ensure timely and accurate deliveries
Assist in demand forecasting and replenishment planning for wholesale accounts
Submit RFPs for national and regional chain new item and programming submissions with the help of sales team
Data, Reporting & Systems
Maintain accurate records in ERP, EDI, retailer portal, order management, and CRM systems
Track key wholesale metrics such as fill rates, order cycle times, and inventory turns
Generate reports to support sales planning, distributor performance, and retail account reviews
Cross-Functional Collaboration
Partner closely with Sales to support promotions, launches, and retail resets
Work with Finance on invoicing, deductions, chargebacks, and account reconciliation
Support Operations and Supply Chain initiatives to improve efficiency and scalability
Qualifications
1–3 years of experience in operations, supply chain, or wholesale support (CPG or beverage experience a plus)
Experience working with distributors and/or large retail customers preferred
Strong attention to detail and organizational skills
Proficiency in Excel/Google Sheets and comfort working in ERP and order management systems
Clear written and verbal communication skillsAbility to manage multiple priorities in a fast-paced environment
Preferred Experience
Experience in non-alcoholic beverage, food & beverage, or consumer packaged goods
Familiarity with distributor networks and multi-state wholesale operations
Experience supporting national or regional retail chains
