Position Overview
Program Assistant – Basic Education for Adults (BEdA) Department, Big Bend Community College (BBCC). Under general supervision, this full‑time, non‑permanent position (40 hours per week) provides case management, educational planning, and student support for BEdA, Open Doors, HEP, and WES students. The assistant works across departments and with outside agencies to remove barriers, connect students to resources, and deliver wrap‑around services. This role also serves as the front desk point‑of‑contact, maintaining confidentiality, organization, and customer service skills. Essential Duties
Act as front desk point‑of‑contact for the BEdA program, responding to students, employees, partner agencies, and the public. Perform office duties including answering phones, filing, maintaining student records, and operating office equipment with proficiency in Microsoft Office Suite. Manage a caseload of BEdA students, reporting participation and progress in specialized student management systems. Maintain regular contact with students in‑person, via phone, classroom visits, and technology‑supported options (CANVAS, Starfish, virtual meetings, email, social media). Implement a holistic approach to address academic and personal barriers, referring students to on‑/off‑campus resources and services. Maintain student files with quarterly schedules, current transcripts, and updated program plans; monitor and support students’ progress toward certificates or degrees. Provide orientations to new students accepted into the BEdA program, explaining program details, supports, and expectations. Assist students in determining educational goals and establishing a plan based on prior learning, transcripts, or competency. Refer prospective BEdA students to College staff (WES, TRiO, pathway advisors, outreach team) to complete the onboarding process. Represent BBCC BEdA department at outreach and recruitment events. Engage in professional growth through seminars, workshops, and affiliations to remain current in the field. Follow safety practices and policies to prevent injuries. Ensure compliance with college policies, state, and federal regulations. Maintain courteous and efficient interactions with team members and support groups. Perform related duties as required. Problem‑solving abilities, especially for quick action and resolution. Ability to handle multiple tasks and positive responses to frequent interruptions. High level of confidentiality and adherence to FERPA regulations. Flexibility and adaptability to changing priorities. Work positively with diverse populations and recognize cultural variations. Maintain regular and consistent attendance, including occasional work outside standard hours. Travel as required for outreach, enrollment, or professional development. Build relationships with students, colleagues, and employers. Communicate effectively, both verbally and in writing, in English and Spanish, including one‑on‑one and public forums. Minimum Qualifications
High School diploma or equivalent with at least two (2) years of administrative and clerical support experience, or experience working with disadvantaged youth aged 16‑21. Fluency in both Spanish and English (reading, writing, speaking). Experience working with diverse academic, socioeconomic, cultural, ability, and ethnic backgrounds. Desirable Qualifications
Associate’s degree or higher from a regionally accredited institution. Experience working with adults to develop educational goals and apply for benefits. Computer skills. Experience dispersing funds to clients or students. Work experience at a community and technical college in student services and/or workforce education. Application Process
