Job Description The Receptionist/Accounting Assistant answers the phone, transfers callers, welcomes visitors, sends and receives mail and packages, and assists the accounting and operations departments with a variety of accounting, finance, and clerical duties. This on‑site role provides wide‑variety clerical support to the organization.

Essential Duties & Responsibilities

Greet all visitors, ensure they sign in, and notify business leaders when guests arrive.

Answer phones, screen calls, transfer, conference, and take messages.

Handle and distribute all office mail and packages, both incoming and outgoing.

Provide general office support to all departments.

Create A/R invoices, billings, and credit memos.

Post general ledger entries.

Update customer files.

Compile and maintain exempt certificates.

Organize and maintain A/R records.

Assist with month‑end close by verifying general ledger accounts.

Close A/R cycle timely to help with monthly accounting closing.

Assist with audits, both internal and external, by handling all A/R related requests.

Support Project Managers.

Provide backup support to the Finance/Accounting/Operations department.

Qualifications

Two to five years of administrative experience, supporting management.

Preferably a two‑year degree or equivalent electrical construction‑related work experience.

Knowledge of the construction industry, operations management, and safety practices.

Knowledge of federal, state, and city regulations and guidelines.

Proficiency in Microsoft Office applications, especially Outlook and Excel.

Accounts receivable and billing experience is a strong plus.

Effective communication skills with internal departments and external vendors.
