HR & Facilities Operations Generalist
Job Summary The CU Anschutz College of Nursing Human Resources team is seeking a full-time (1.00 FTE) entry-level HR & Facilities Operations Generalist. This position will integrate and advance the College of Nursing’s commitment to a healthy work environment across all aspects of its work, including supporting all HR functions, with a particular focus on human resources operations.
Examples of Duties Performed Human Resources Operations (60%) Continuously monitor and triage all submissions to the CU Nursing HR ticketing system to ensure efficient and consistent response to all requests.
Handle operational tasks related to onboarding and offboarding, such as sending initial emails to new hires with onboarding information, follow up on HR Team members for their onboarding tasks, signing up new hires for Campus New Employee Orientation, communicating offboarding information with the employee and the direct supervisors, as well as other onboarding / offboarding assigned tasks.
Review newly submitted payroll and funding requests for completion and ensure they efficiently route through the process.
Maintain CU Nursing onboarding, off-boarding, payroll, and other templates up-to-date and aligned with templates approved by Central HR. Ensure finalized documents and forms are saved accordingly.
Assist with pulling, collecting, and reporting on survey data to support HR initiatives and college area ad hoc and recurring requests.
Enter and maintain data in systems such as Human Capital Management, Taleo, and SharePoint to facilitate CU Nursing HR recruitment, onboarding, and offboarding processes.
Audit and update all relevant human resources information on the CU Nursing Intranet and associated websites.
Maintain personnel files of current and past CU Nursing employees, in accordance with campus and college standards.
Share FML / CU FAMIL information with employees and supervisors as needed. Verify that required rows / submissions in HCM related to leave processes, including FML / CU FAMLI, have been entered by the CU Central Leave Team, and follow up with the CU Central Leave Team on any needed rows or questions related to college employees.
Develop and maintain knowledge of Federal, State, University, and College HR policies, procedures, and guidelines.
Orient and guide college faculty and staff on CU Nursing general HR processes, including the payroll and funding form, position initiation form, etc.
Assist the CU Nursing HR & Payroll Senior Professional and the Director of HR with special projects and other duties as assigned.
Collaborate with the Director of HR and Assistant Director of HR to track and organize employee relations documentation.
Provide feedback on CU Nursing HR processes with an eye on continuous improvement.
Support the Director of HR in employee training and organizational development initiatives for staff and faculty.
Provide backup support for recruitment activities when the HR Recruitment Generalist is out of the office, ensuring continuity of hiring processes and compliance with established procedures, including monitoring recruitment inquiries, assisting with candidate communication and interview scheduling, verifying search committee compliance, and supporting reference checks and salary approvals as needed.
Facilities Operations (40%) Coordinate emergency and safety preparedness efforts within the College of Nursing, including monitoring system & campus communications on emergency and safety preparedness, and ensuring consistent communication through established channels in the college as needed to ensure compliance and readiness.
Maintain and update the Continuity of Operations Plan (COOP) regularly following established college SOP; keep the Chief of Staff up to date on any questions or concerns related to COOP.
Track and maintain college capital equipment inventory utilizing campus systems and following established deadlines to ensure accurate records.
Make needed updates to Web Space software (or similar software) and communicate any concerns or issues to the Chief of Staff.
Maintain and update documentation of college office space on CU Anschutz Campus, including office and phone assignments, blueprints, etc.
Coordinate facilities-related onboarding and offboarding tasks, ensuring smooth transitions for employees.
Following assigned offices, submit key requests to the CU Anschutz Lock Shop, tracking all requests for completion.
Recommend office assignments and manage related logistics for office moves, including updating door signs, requesting phone updates or transfers, submitting needed work orders, etc.
Work with the Chief of Staff to support all college construction projects, ensuring consistent follow-up and communication on college facilities-related tasks for projects.
Submit and track college facilities work orders, tracking all requests for completion and handling communication with campus facilities.
Track and update as needed internal college mailbox assignments and related reference documents.
Update and maintain college facilities-related content on the College Intranet following branding and accessibility guidelines.
Coordinate furniture and facilities disposal requests, adhering to campus guidelines.
Attend recurring meetings with campus facilities and housekeeping teams to stay informed and address issues proactively.
Maintain branding and cleanliness of shared spaces, including conference rooms, copy rooms, and common areas, in collaboration with other administrative staff.
Ensure timely ordering of copy paper and related facilities supplies to support operational needs.
Work Location Hybrid – this role is eligible for a hybrid schedule of three (3) days per week on campus and as needed for in-person meetings.
