We are looking for a highly organized and detail-driven Administrative Assistant/Sales Coordinator in downtown Albany, New York. Responsibilities:
• Provide comprehensive administrative support to the Sales team, ensuring all sales-related tasks are handled promptly and accurately.
• Maintain client information, leads, and account details in internal systems with precision.
• Assist sales managers in preparing proposals, contracts, and essential sales documentation.
• Facilitate client communications, including follow-ups and confirmations, as directed.
• Coordinate event-related sales activities, such as site visits and client meetings.
• Manage calendars, schedule meetings, and organize appointments for Sales team members.
• Arrange travel plans and itineraries for team members when required.
• Perform accurate data entry, reporting, and document management to support sales operations.
• Prepare presentations, reports, and correspondence tailored to the needs of the Sales team.
• Collaborate with internal departments to support group bookings, events, and special programs.
• Minimum of 2 years’ experience in an administrative assistant, sales coordinator or similar support role.
• Prior experience in hospitality, hotels, events, or customer-facing environments is strongly preferred.
• Demonstrated ability to stay organized and manage multiple priorities effectively.
• Exceptional written and verbal communication skills.
• Proficiency in Microsoft Office tools, including Word, Excel, Outlook, and PowerPoint.
• High attention to detail and accuracy in data entry and documentation.
• Strong attention to detail and a commitment to providing excellent service.
• Familiarity with event planning and coordination is a plus.
