Job Title: Administrative Assistant
Location: Houston, TX
Duration: 12+ Months Contract
Work Model: Hybrid – In-Office (Mon, Tue, Thu) & Remote (Wed, Fri)
We are hiring an Administrative Assistant. This role provides administrative support to regional leadership, supervisors, and technicians, with a strong focus on efficiency, accuracy, and proactive coordination.
Key Responsibilities
- Provide administrative support to regional teams and leadership
- Manage calendars, travel arrangements, and expense reports
- Process, code, and track invoices; create and manage purchase orders
- Support basic reporting needs and track business processes using Power BI
- Prepare documents using MS Word, Excel, and PowerPoint
- Coordinate meetings, regional events, and external vendor interactions
- Support recruitment, onboarding, and offboarding activities in coordination with HR
- Maintain SharePoint files, team sites, and access permissions
- Manage office supplies and support fleet compliance records
- Handle confidential information in accordance with company procedures
Required Qualifications
- Minimum 2 years of administrative experience or equivalent education and experience
- Strong organizational, communication, and multitasking skills
- Proficiency with Microsoft Office, SharePoint, and general computer applications
- Ability to work independently, manage interruptions, and meet deadlines
- Professional, proactive, and detail-oriented approach
Preferred Qualifications
- University degree
- Experience with Oracle Financial Applications and Workday
- High-volume workload with changing priorities
- Occasional extended hours; rare travel
