Job Title: Administrative Assistant

Location: Houston, TX

Duration: 12+ Months Contract

Work Model: Hybrid – In-Office (Mon, Tue, Thu) & Remote (Wed, Fri)

We are hiring an Administrative Assistant. This role provides administrative support to regional leadership, supervisors, and technicians, with a strong focus on efficiency, accuracy, and proactive coordination.

Key Responsibilities

  • Provide administrative support to regional teams and leadership
  • Manage calendars, travel arrangements, and expense reports
  • Process, code, and track invoices; create and manage purchase orders
  • Support basic reporting needs and track business processes using Power BI
  • Prepare documents using MS Word, Excel, and PowerPoint
  • Coordinate meetings, regional events, and external vendor interactions
  • Support recruitment, onboarding, and offboarding activities in coordination with HR
  • Maintain SharePoint files, team sites, and access permissions
  • Manage office supplies and support fleet compliance records
  • Handle confidential information in accordance with company procedures

Required Qualifications

  • Minimum 2 years of administrative experience or equivalent education and experience
  • Strong organizational, communication, and multitasking skills
  • Proficiency with Microsoft Office, SharePoint, and general computer applications
  • Ability to work independently, manage interruptions, and meet deadlines
  • Professional, proactive, and detail-oriented approach

Preferred Qualifications

  • University degree
  • Experience with Oracle Financial Applications and Workday
  • High-volume workload with changing priorities
  • Occasional extended hours; rare travel
