Coordinator, Faculty Affairs Administration
Rutgers, The State University of New Jersey, is seeking a Coordinator, Faculty Affairs Administration for the Dean’s Office at the New Jersey Medical School. This role reports to the Program Administrator and is responsible for all faculty personnel actions, including hiring, terminations, promotions, reappointments, I‑9 verification, payroll, and related administrative duties.
Overview New Jersey’s academic health center, Rutgers Biomedical and Health Sciences (RBHS), integrates education, clinical care, and research across eight schools and several centers and institutes. Our faculty, encompassing teachers, clinicians, and scientists, drive medical innovation and patient care. The Center’s facilities are located throughout New Jersey, with clinical partners including Robert Wood Johnson University Hospital and Newark’s University Hospital.
Posting Summary Under the supervision of the Program Administrator, the Coordinator will:
Coordinate comprehensive administrative and analytical support for the Office of Faculty Affairs.
Act as the primary liaison for faculty personnel actions, collaborating with department chairs and administrators to ensure timely processing of all transactions related to recruitment, hiring, reappointment, promotion, changes in appointment, and termination.
Oversee end‑to‑end processing of faculty actions, including generating and routing EPAFs, preparing HR and payroll forms, verifying Employment Eligibility (I‑9), and coordinating with units such as Academic Affairs, Human Resources, Payroll, Risk & Claims Management, and the Fiscal Office.
Maintain accurate, up‑to‑date records in the Faculty Information System (FIS) and other database systems, establishing official personnel files.
Compile, analyze, and present data from various sources for reports, presentations, and strategic planning—creating charts, tables, and spreadsheets as required.
Prepare official correspondence and documents on behalf of the Dean, Vice Dean, or designees; handle inquiries and special projects with professionalism and discretion.
Compensation & Benefits Salary Range:
$82,856 – $126,775 annually (based on qualifications, experience, and internal equity). The final offer will consider market benchmarks, department or grant funds, and internal fairness.

Qualifications
Bachelor’s Degree in Business Administration/Management, Human Resources, or related field, plus five (5) years of progressively responsible administrative experience in an office, university, or healthcare environment.
Experience managing multiple projects with competing deadlines in a fast‑paced environment and preparing reports.
Equivalent education, experience, and/or training may substitute for the educational requirement.
Required Knowledge, Skills, and Abilities
Excellent oral and written communication skills.
Exercise discretion and independent judgment at all times.
Computer literacy with proficiency in database and reporting tools, Microsoft Word, Excel, Access, and PowerPoint.
Outstanding human relations and leadership skills; ability to function in a team environment.
Preferred Qualifications
Physical Demands: Standing, sitting, walking, talking or hearing required; must lift or exert force up to 30 pounds.
Work Environment: Office environment with moderate noise.
Employment Information Full‑time, standard hours 37.5 per week; fully on‑site work arrangement at Newark campus, Rutgers Biomedical and Health Sciences. Position Salary Grade 25S; Staff – 12 month terms of appointment.
