Minivasive Pain & Orthopedics is seeking a full‑time Intake Coordinator to join our team in Northwest Houston (ZIP 77040). The Intake Coordinator will secure and confirm scheduling of initial appointments for new patients, ensuring all necessary authorizations, insurance verification, and communication with referral sources are complete.
ESSENTIAL FUNCTIONS
Ensure all necessary authorizations have been obtained prior to scheduling new patients.
Collect new patient referrals and maintain an up‑to‑date referral log.
Create new patient charts in Salesforce and eCW with accurate and complete patient information and demographics.
Schedule and reschedule initial consultations for patients when required.
Inform and update patients with all necessary appointment information and instructions in a timely manner.
Takes telephone messages and provides feedback and answers to patients and referral sources.
Respond to and comply with requests for information via telephone or e‑mail.
INSURANCE VERIFICATION
Verify insurance eligibility for upcoming appointments using online portals or by contacting carriers directly.
Complete verification forms and upload them onto the patient’s electronic medical record (EMR) in eCW.
Determine patient co‑payments and calculate co‑insurance and deductibles.
Accurately input insurance coverage details such as co‑payments and deductibles into the EMR.
Assist the front office with verification questions or concerns.
Resolve any coverage issues and update the patient EMR.
KNOWLEDGE, SKILLS, AND ABILITIES
Broad knowledge of HIPAA, federal and state regulations.
Familiarity with in‑network and out‑of‑network insurance, insurance verification, patient responsibility, and prior authorization processes.
Strong knowledge of computer systems and relevant software applications.
Exceptional customer service and phone etiquette.
Excellent verbal and written communication skills.
Strong attention to detail.
EDUCATION AND EXPERIENCE
High School Diploma or GED required.
Minimum one (1) year of experience in a medical office or facility setting.
