Essential Duties & Responsibilities
Draft and formalize all AIA Contracts, change orders, and amendments. Manage approvals via DocuSign.
Administer the bidding process.
Maintain electronic and hard‑copy contract/bid files for the office and clients.
Assist with administering Project Acquisition Strategy.
Monitor, assign, and verify budget numbers and related information on requisitions, claim forms, and personnel/time reporting documents.
Prepare documentation for input into computerized accounting systems, including the client’s software program.
Ensure the accuracy and thoroughness of documents and meet client procurement code requirements.
Assist with preparation and maintaining bookkeeping records on revolving cash funds, or similar programs and activities.
Lead efforts in preparing and processing all client invoices/pay applications.
Keep accurate invoice records to assist with monthly reconciliation with the client.
Field questions from contractors and consultants about status of invoices and purchase orders.
Assist with close‑out of completed contracts in accounting software.
Archive important program documentation as needed.
Other duties as assigned.
Knowledge & Skills Required
Ability to apply standard office practices to support daily operations.
Intermediate knowledge of Windows, Word, PowerPoint and Outlook.
Intermediate to advanced skill level with Excel.
Ability to work independently with little direction – a self‑starter and energetic.
Experience with Procore software.
Effective written and oral communication and team skills.
Strong organizational and interpersonal abilities.
Ability to sort, check, count, and verify numbers.
Multi‑task, prioritize, and work efficiently.
Demonstrated good common sense and sound judgment.
Works effectively with other departments.
Procurement background a plus.
Flexibility to adapt to all situations.
Performs at high levels in a fast‑paced, ever‑changing work environment.
Anticipates work needs and follows through with minimum direction.
Applies knowledge of commonly used concepts, practices, and procedures in the relevant industry.
Relies on instructions and pre‑established guidelines to perform duties.
Preferred Education and Experience Education: High School Diploma or equivalent. Associate Degree in Accounting, Business, or Finance strongly preferred.
Experience: Minimum of 3 years of accounting/finance experience. Background in construction cost accounting preferred.
Salary Range The salary range for this full‑time role is $57,400.00 – $72,733.34 per year. Ranges are determined based on the position, geography, client and industry experience and level, and represent a fair and equitable salary. This range reflects base salary only, and not the total compensation package.
