Job Summary
This is a hybrid role (2–3 days per week) in our NYC office. We are seeking a highly organized, collaborative, and proactive Executive Assistant to support our C‑Suite executives. The ideal candidate thrives in a fast‑paced environment, brings their best self to every interaction, and can collaborate effectively without ego to keep the team moving forward.
The role requires exceptional multitasking abilities, strong communication skills, strategic thinking, and sharp attention to detail—especially in anticipating needs and “seeing around the corner” when it comes to scheduling and calendaring. Success means thinking several steps ahead, solving problems before they arise, and enabling our executives to focus on what matters most.
Major Duties and Responsibilities
- Schedule Management: Strategically coordinate and manage the complex calendars of 2–3 C‑Suite executives, anticipating priorities and proactively adjusting to ensure the right meetings happen at the right time.
- Travel Coordination: Arrange and manage travel itineraries, accommodations, and logistics, ensuring a smooth experience.
- Meeting Coordination: Organize and prepare for meetings, including agenda creation, minute‑taking, and follow‑up on action items. Ensure executives’ time is well‑utilized and aligned with their preferences and business objectives.
- Event Planning: Plan and execute company events, meetings, and conferences, ensuring all details are meticulously handled.
- Communication: Serve as a liaison between executives, the Board of Directors, and internal/external stakeholders, maintaining clear, timely and empathetic communication.
- Administrative Support: Handle various administrative tasks such as expense reporting, document preparation, data & processes management and thorough follow‑through.
- Project Management: Assist in the planning and execution of special projects, anticipating roadblocks and driving timely successful completion.
- Confidentiality: Maintain the highest level of confidentiality and discretion in handling sensitive information.
- Travel Requirements: Travel to various work locations, including Gaithersburg, MD & NYC (satellite office) as needed.
- Ad‑Hoc Tasks: Perform ad‑hoc tasks and special projects as required, such as candidate interviews or procurement follow‑up.
- Administrative Coverage: Provide coverage for the administrative team as needed, including serving as the key lead for Executive Assistant to CEO & CFO when they are out of the office.
- Collaboration & Teamwork: Partner seamlessly with other EAs, leaders, and departments to drive outcomes—working without ego and with a focus on collective success.

Education / Technical Requirements
- Minimum of 5 years of experience as an Executive Assistant or in a similar role supporting senior executives.
Experience
- Exceptional organizational and time‑management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to adapt to changing priorities and work under pressure.
- High level of professionalism and integrity.
- Capability to maintain high intensity for extended periods of time.

- Excellent leadership, strategy, communication and presentation skills.

Physical Demands
- This role requires extended periods of sitting while using a computer, involving frequent keyboarding and mouse usage.
Work Environment
- This position is performed in a home office setting. Employees are expected to create a quiet, organized workspace conducive to productivity. The role may involve virtual collaboration with team members through video conferencing and digital communication tools. Employees should ensure reliable internet connectivity and have access to necessary technology to perform their job effectively. Flexibility in work hours may be required to accommodate team meetings and project deadlines.
Pay Transparency
$80,000 – $85,000 USD per year.
