The Colorado Department of Military and Veterans Affairs (DMVA) has four major operational divisions: Army National Guard, Air National Guard, Civil Air Patrol, and Veterans Affairs. These divisions utilize state and federal resources to provide our communities, State, and nation with a ready military force for national defense and State emergency response as well as providing assistance to our Colorado Veterans.

This is a full-time position within the State classified Human Resource Office. This position will be engaged in supporting the Human Resource department by performing tasks related to all facets of Human Resources, and is the first professional that our employee population, new hires, and visitors engage with.

Duties

providing support to the entire HR team and serving as the first point-of-contact for all employee/supervisor/general public questions;

providing and assisting new hires with all new hire paperwork on their first day of employment with our organization; and processing their paperwork;

managing new hire paperwork packets ensuring the most recent forms, sending accurate appointment letters, communicating actions needed to welcome new hires, required actions they must take through follow-up emails, and preparing new hire official employment files;

accurately building, managing, and tracking of a variety of employee information on a daily basis such as dates of employment, performance management, temporaries, probationary service, employee status, years of service, etc. and sending out reminders to employees and supervisors to complete actions, as well as printing certificates and sending out relevant information to our communities;

creating, inputting, and maintaining data in a variety of databases and State systems;

reviewing bi-weekly and monthly timekeeping system to ensure that supervisors are tracking time correctly, reaching out to supervisors to resolve discrepancies and notifying supervisor of concerns, as well as resetting passwords, resolving simple issues, making changes within the system when personnel, position, and supervisory changes occur;

managing all HR filing systems to ensure a well-organized system, archiving files, maintaining accurate systems for a variety of employment files such as terminated files, FMLA files, temporary files, workman's compensation files, etc. and archiving files quarterly;

completing Personnel Action Forms as directed and sending out for signature routing processes amongst DMVA administration and distributing for appropriate internal HR action and filing copies in personnel files;

identifying all mandatory training requirements, coordinating/communicating to employees and supervisors regarding need to engage in mandatory training, setting them up in systems, providing certificates of completion, tracking their status of completion, and continuously reminding employees to complete training;

continuously reviewing on-line presence of HR on the departmental website to ensure relevancy, accuracy, and up-to-date information is presented;

creating, coordinating, updating, and working with and serving as back up to monthly orientation presentations involving creating and delivering dynamic and exciting orientation programs through incorporating various visual effects and optional on-line presentations;

performing a variety of additional functions such as ordering supplies on behalf of the office, tracking and managing departmental budgets, reconciling departmental purchase cards, maintaining appropriate supporting HR purchase documentation, providing reports on purchase actions and balances, processing purchases through accounting, as well as engaging in cyclical actions such as ordering compliance posters, completing annual surveys, sending annual employee pay increase information and filing copies in employment files; and

a variety of other duties as requested to provide experience and skill that allow for upward mobility.

Minimum Qualifications

Four years of work experience performing office administration and managing a variety of tracking data systems.

One year of experience in an HR environment.

Knowledge and Skills

Strong attention to technical detail, ability to collaborate with other professionals, managers, and staff to identify acceptable solutions within applicable law, rules, and procedures.

Ability to utilize and apply technology in a variety of computer software applications.

Ability to respond effectively and positively to both positive and negative feedback from employees and DMVA administration community.

Possess and maintain a current and valid Colorado Driver's License.

Must be willing to submit to random drug and alcohol testing.

Must be willing to travel throughout the State of Colorado as required to support new hire paperwork processing and orientation as well as benefit open enrollment support.

Must be willing to work 4 days a week, 10 hours per day, Tuesday through Friday, 7:00 a.m. to 5:00 p.m. in-office as we are an internal and external customer-facing department.

Substitutions

Bachelor's degree from an accredited institution in Human Resource Management, Business Management, Public Administration, Personnel Administration, Industrial/Organizational Management or closely related field (transcripts must be provided at the time of on-line application).

One year of professional experience performing a variety of clerical office functions and fluency with database management, technological solutions, and/or incorporating a variety of mediums and special effects into powerpoint productions such as visual effects, videos, communications, and stand alone productions.
