Recruiting Operations is the force that keeps the hiring engine running smoothly, removes friction from every step of the process, and ensures our systems, tools, and data work together to support fast and informed decision making.
We are looking for a
Recruiting Operations Specialist
who thrives at the intersection of systems, data, tooling, and process optimization. The role is focused on enabling recruiters to move faster, supporting high‑quality data and workflows in our ATS and connected systems, and building the operational backbone that powers a best‑in‑class hiring function. You will partner closely with recruiters, the broader People Ops team, Finance, and cross‑functional leaders to ensure that everything behind the scenes is clean, efficient, and optimized for scale.

What You’ll Do
Own the daily health of the recruiting tech stack, including the ATS and all connected tools. Ensure everything works as intended and troubleshoot issues quickly.
Train and support recruiters and hiring managers in the effective use of recruiting tools, features, and workflows.
Maintain clean, accurate, and up-to-date data in all systems. Audit data regularly and partner with recruiters to correct inconsistencies.
Build and refine workflows in the ATS to improve speed and consistency.
Partner with Finance and People Ops to align headcount planning, req approvals, and system updates.
Act as the primary liaison between Recruiting and People Ops on all systems, data, process, and documentation needs.
Create dashboards, reports, and insights that give visibility into pipeline health, funnel metrics, and hiring progress across all teams.
Monitor key recruiting metrics and identify bottlenecks or inefficiencies in workflows. Propose and implement fixes that improve speed and quality.
Ensure recruiters have the resources, templates, and tools they need to work efficiently.
Support compliance requirements such as EEOC data, documentation, and system hygiene.
Optimize integrations between the ATS, HRIS, sourcing tools, scheduling tools, and project management tools.
Partner with the Head of Recruiting and People leadership to operationalize new hiring processes, rollout changes, and ensure high adoption.
Document and maintain clear process guides, SOPs, and best practices for the recruiting function.
Identify opportunities for automation and help implement scalable solutions that reduce manual work.
What We’re Looking For
At least 3 years of experience in recruiting operations, HR operations, or talent systems management with clear ownership of tooling and workflow optimization.
Strong understanding of ATS platforms, ideally Ashby, with experience building custom workflows, fields, views, and automation.
High proficiency with data analysis and reporting tools. Ability to pull, clean, and interpret data and present insights clearly.
Passion for improving systems and processes and a natural ability to see root causes behind workflow issues.
Ability to partner cross‑functionally with People Ops, IT, Finance, and hiring teams to align processes and drive operational clarity.
Excellent communication skills. Able to explain systems concepts to technical and non‑technical audiences with clarity.
High attention to detail and an ownership mindset for data quality and operational integrity.
Comfort in fast paced environments with shifting needs and a high volume of priorities.
Curiosity, initiative, and a strong sense of responsibility for keeping the recruiting engine running smoothly.
What Will Set You Apart
Deep experience with Ashby or similar next generation ATS platforms.
Experience rolling out new recruiting tools, integrations, or automation features.
Proven ability to diagnose and fix operational bottlenecks across the recruiting lifecycle.
Experience supporting high growth hiring in technical and non‑technical functions.
Ability to build dashboards or reporting logic beyond basic metrics.
History of raising the operational maturity of a recruiting team through scalable systems, training, and documentation.
Strong partnership skills with People Ops, enabling seamless handoffs from hiring to onboarding.
Compensation For this role, the target salary range is $80,000 – $109,000 (actual range may vary based on experience and performance). We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee’s pay position within the salary range will be based on several factors, including, but not limited to, relevant education, qualifications, certifications, experience, skills, geographic location, performance, and business or organizational needs.
