What You Will Be Accountable For
Front Desk & Visitor Experience
Serve as the first point of contact for all visitors, clients, and vendors, ensuring a professional and welcoming atmosphere.
Manage secured front-door access and route calls efficiently through a multi-line phone system.
Oversee lobby presentation, including displays, signage, and visitor materials.
Monitor parking lot usage and coordinate access for authorized visitors.
Administrative & Event Support
Assist with scheduling and coordinating staff travel and related expense tracking.
Support the Executive Assistant in vendor management and day-to-day administrative needs.
Coordinate logistics for client meetings and internal events, including catering, set‑up, and materials preparation.
Assist with company-wide communications such as newsletters, memos, and event announcements.
Support onboarding by preparing welcome materials and workstation setup for new hires.
Maintain updated office directories, calendars, and administrative records.
Office & Facilities Coordination
Order, restock, and track inventory of office, kitchen, and event supplies through approved vendors.
Maintain cleanliness and organization of common areas, ensuring all machines and coffee stations are stocked and operational.
Provide backup lunch coverage and ensure shared spaces remain tidy and functional.
Mail & Shipping Operations
Process incoming and outgoing mail and packages, ensuring timely distribution.
Manage USPS and FedEx shipments, including labeling, postage, and pickup scheduling.
Track supply usage (ink, postage meters, shipping materials) and reorder as needed.
Provide guidance to employees on shipping procedures and ensure compliance with mailing policies.
What Qualifications You Need
High school diploma or equivalent required.
1+ years of experience in an administrative, reception, or customer service role.
Proficiency with Microsoft Office Suite (Outlook, Word, Teams, basic Excel, PowerPoint).
Excellent communication and interpersonal skills with a positive, professional demeanor.
Strong attention to detail, organization, and ability to multitask effectively.
Comfortable handling confidential information with discretion and professionalism.
Friendly, engaging personality with a focus on teamwork and client service.
Experience using Canva or similar design tools. (Preferred)
Prior experience supporting event planning or internal communications. (Preferred)
