The Nursing Services Staffing Coordinator supports nursing administration, representing a fast‑paced, deadline‑oriented role that collaborates with Nurse Administrators, Managers, Educators and others. The position provides vital administrative support, data analysis, scheduling, budgeting, and coordination of meetings.
Responsibilities
Serve as the primary administrative support for Nursing Services, acting as a liaison between Nursing Administration and other departments.
Prepare, disseminate, and update monthly staffing schedules for direct‑care staff, including licensed and unlicensed personnel.
Review staffing reports, assess unit coverage, and communicate potential staffing shortages or adjustments.
Collect, tabulate, and analyze data from various tracking systems to evaluate staffing effectiveness and support quality improvement activities.
Generate budget reports covering overtime expenditures, contract staffing costs, and other nursing expenditures.
Coordinate meetings (e.g., Nursing Executive Staff Committee, Nurse Staffing Committee, Unit Scheduling Meetings) by developing agendas, taking minutes, and distributing summaries.
Prepare routine and special correspondence, reports, studies, and forms for counseling and regulatory compliance.
Actively support disaster response, continuity of operations (COOP), or other agency‑wide activities requiring alternate shift patterns or locations.
Essential Job Functions (EJFs)
Attend required work hours, including specific shifts, rotating schedules, extended shifts, and overtime as per agency policy.
Plan, direct, and monitor workflow within Nursing Administration, exercising discretion and judgment with minimal supervision.
Screen and manage phone calls and visitor inquiries, directing them appropriately.
Maintain familiarity with laws, regulations, policies, and procedures governing HHSC and Nursing Services.
Manage correspondence and departmental documents received via phone, mail, or in person.
Prepare and revise departmental manuals, forms, and studies as directed.
Build and maintain multiple tracking systems for nursing analytics, including staff vacancies, leave, overtime utilization, and patient acuity.
Support compliance with governmental entities, laws, and accreditation standards.
Knowledge, Skills & Abilities (KSAs)
Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook); advanced skills in real‑time spreadsheets and data tables.
Understanding of continuous quality improvement, corporate compliance, emergency preparedness, infection control, mental health, patient rights, and HHSC rules.
Effective communication: written, verbal, and email correspondence; proofreading and editing.
Training and teamwork: ability to train others and collaborate across departments.
Project management: manage multiple projects and meet deadlines independently.
Administrative procedure implementation and evaluation.
Interpretation of complex regulations, policies, and procedures.
Baseline knowledge of mental health program elements.
Initial Screening Criteria
At least two (2) years’ experience in a professional support or administrative role.
Additional Information Applicants must pass a fingerprint criminal background check, pre‑employment drug screen, and registry checks. Males aged 18‑25 must register with the Selective Service. Minimum age for applicants: 18 years (21 for Waco Center for Youth). The position may require overtime, extended hours, or shift changes. Immunization against hepatitis B, measles, mumps, rubella, varicella (chickenpox), tetanus, diphtheria, pertussis, and influenza is required per state policy; unvaccinated employees may need mask or other protective measures.
