We are seeking a highly organized and detail-oriented
Project Manager Coordinator
to support the successful delivery of customer-focused, results-driven projects. This role plays a critical part in enabling project execution by coordinating administrative activities, maintaining accurate documentation, and supporting project managers throughout the full project lifecycle in a fast-paced environment. The ideal candidate demonstrates strong judgment, adaptability, and a proactive mindset. This role requires a collaborative and service-oriented approach, with the ability to work cross-functionally, manage multiple priorities, and ensure project information is accurate, organized, and communicated effectively to support high-quality project outcomes and customer satisfaction. Key Responsibilities
Assist with administrative tasks Gather, organize, and maintain project documentation (milestone dates, SOWs, site surveys, drawings, permits) Set up projects in project management systems Maintain up-to-date project tracking logs and dashboards Prepare purchase requests and assist with issuing purchase orders to suppliers and contractors Maintain and update documents submitted or pending from subcontractors, permitting agencies, or clients Support closeout processes by organizing final documentation packages Assist PMs in preparing updates to status reports to be shared with customers Skills And Requirements
Strong attention to detail and high level of organizational ability Excellent written and verbal communication skills Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and document management systems Ability to manage multiple administrative tasks simultaneously in a fast-paced environment Minimal experience required Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is constantly required to sit and use hands to operate the telephone, type and operate computer and mouse. Regularly required to sit and work at a computer for extended periods of time. Occasionally required to stand, walk, or move throughout a production or fabrication facility. Ability to lift and handle materials or samples weighing up to 25 lbs. Must be able to visually inspect signage proofs, samples, or installations for accuracy and quality. Seniority level
